Role Overview
The Executive Assistant will provide crucial support to the VP of Business Systems, VP of Support, and VP of Data, enabling them to focus on impactful initiatives. This role creates operational leverage by bringing order to dynamic priorities, managing complex logistics, and ensuring that information flow and follow-ups remain organized and timely within a fully remote, fast-paced setting. Close collaboration with these executives and a wider community of Executive Assistants across the company will be essential.
Key Responsibilities
- Manage scheduling, logistics, communications, and daily operational support for three VPs to keep priorities aligned and progress transparent.
- Handle intricate calendar management including assessing meeting requests, prioritizing events, resolving conflicts, recommending tradeoffs, and maintaining balance to protect focus time.
- Develop comprehensive meeting agendas from brief inputs and reference materials to prepare leaders for internal and external engagements.
- Maintain ongoing communication rhythms with leaders, proactively surfacing items requiring attention, decisions, or escalation.
- Monitor updates from direct reports and partners to provide leadership with clear insight into project status and dependencies.
- Coordinate all travel logistics including flights, ground transport, accommodation, visas, and security arrangements, ensuring readiness for travel plans.
- Manage expense reporting, reimbursements, and administrative workflows with precision and promptness to ensure expense compliance.
- Work collaboratively with People Operations, IT, Security, Recruiting, and other Executive Assistants to support onboarding, interview scheduling, team meetings, events, and broader operational coverage.
Candidate Profile
- Proven experience supporting senior executives managing complex calendars, travel, expenses, and multiple concurrent priorities.
- Familiarity with technology industry environments.
- Capability to anticipate requirements, identify risks in advance, and work autonomously in a fast-evolving, fully remote company setting.
- Proven discretion in handling sensitive information alongside managing accurate schedules and documentation.
- Strong written and verbal communication skills in English, effective in interacting with both internal stakeholders and external partners.
- Comfortable using tools including Google Workspace, Slack, Zoom, Navan, and Reclaim.ai (advantageous but not mandatory), plus other administrative and expense platforms.
- Skillful in synthesizing information from various inputs into agendas, summaries, trackers, and preparatory materials supporting leadership decisions.
- Ability to collaborate across diverse business functions and cultures, with similar experience from administrative, project coordination, or operational roles welcomed.
