About the Position
Our client, a building consultancy serving asset owners across Victoria, NSW, South Australia, Queensland, and WA, is expanding their team. They provide essential building condition reports, construction stage inspections, and strata inspection services. To support this growth, they require a well-organized, proactive Administrative Assistant who will be integral to their office operation, supporting both the Director and field building inspectors. This role combines general administration responsibilities with daily accounting support.
Key Duties
- Manage daily office operations, answer incoming calls and queries, maintain organized filing systems, and deliver high-level administrative assistance to the Director.
- Support accounts payable functions including entering invoice details, reconciling supplier statements, and preparing payment runs.
- Confidently operate Xero accounting software to handle daily financial transactions and keep records current.
- Produce professional client reports using Microsoft Word and maintain tracking logs and operational data with Microsoft Excel.
Required Experience and Skills
- Relevant experience in a dynamic office administration role, preferably with a team operating in the field or mobile environment.
- Proficiency with Xero for routine accounts payable and bookkeeping tasks is highly valued.
- Strong capabilities in Microsoft Word for document formatting and template creation, as well as Microsoft Excel for data and spreadsheet management.
- Excellent communication skills, both verbal and written, enabling effective interaction with the Director, inspectors, and clients.
- A self-motivated individual with excellent organizational skills, attention to detail, and the ability to handle multiple tasks simultaneously.
- Excellent problem-solving skills with the ability to independently manage scheduling conflicts and administrative challenges.

Additional Information
This is a full-time position based in Preston, Victoria. The salary ranges from $70,000 to $80,000 annually, plus superannuation. Only candidates holding full Australian working rights are eligible to apply.
