Role Overview

The Senior Executive Assistant will provide high-level administrative support to IonQ's Leadership Team. This position acts as a strategic partner and operational force multiplier by expertly managing executives’ priorities, communication, schedules, and key projects in a fast-paced environment.

Key Responsibilities

  • Deliver end-to-end executive support such as managing complex calendars, organizing meetings with venue, catering, and tech setup, arranging travel, and handling expense reports.
  • Manage executive inboxes by filtering emails, responding appropriately, distilling key information, and highlighting urgent matters.
  • Independently prioritize and coordinate scheduling aligned with dynamic business needs and project deadlines.
  • Participate in important meetings to record detailed notes, oversee action items, and communicate outcomes with stakeholders promptly.
  • Work closely with Finance to coordinate departmental budgets, facilitate review sessions, and track follow-up obligations.
  • Lead cross-department projects through action plan development, maintaining trackers, and ensuring accountability.
  • Organize complex domestic and international travel arrangements including multi-leg trips, accommodations, transportation, and visa preparation.
  • Prepare accurate expense reports with thorough receipt management to ensure timely reimbursements.
  • Evaluate requests for executive time to determine priority, delegation, or decline, including initial fact-finding.
  • Support the executive office with special projects and ad hoc administrative tasks as necessary.

Candidate Requirements

  • A minimum of 10 years of administrative experience, with at least 5 years supporting C-suite or Vice President level executives.
  • Experience in fast-paced technology settings, including direct management of executive workflows and inboxes.
  • Strong business understanding, including industry terminology, processes, and basic financial literacy.
  • Proven sound judgment and decision-making skills managing executive priorities and communication.
  • Extensive expertise (10+ years) coordinating complex global and domestic travel.
  • Ability to manage demands from multiple executives and handle competing priorities effectively.
  • Advanced skills with Google Workspace tools such as Gmail, Sheets, Slides, and Docs.

Compensation and Benefits

The base salary range for this role is approximately $112,500 to $145,659 annually.
