Role Purpose
This position provides essential administrative support to the Operations Control & Quality Assurance department. Key functions include managing document scanning, filing, and retrieval; overseeing internal and external mail through QPost; coordinating office supply requests and inventory using the Coupa system; and ensuring timely and proper handling of deliveries from vendors or stores, all aligned with QNB policies and procedures.
Key Responsibilities
- Control office supply usage efficiently to support cost management, minimizing waste and ensuring timely procurement through the Coupa platform.
- Deliver prompt administrative assistance by accurately scanning, filing, and retrieving documents for internal stakeholders.
- Liaise effectively with vendors, stores, and departments for handling stationery and office supply deliveries.
- Coordinate the receipt, dispatch, and tracking of mail within the bank and externally, maintaining records and ensuring timely delivery.
- Maintain comprehensive, up-to-date physical and digital filing systems per departmental guidelines for easy access.
- Monitor stationery stock and notify when replenishment is needed to sustain support functions.
- Adhere to all relevant legal, regulatory, and compliance policies including AML, CTF, Data Protection, Fraud Control, Whistleblowing, and Conflict of Interest frameworks.
- Follow the Three Lines of Defence model to actively support risk identification, measurement, and management and ensure positive client outcomes under Conduct Risk principles.
- Engage in ongoing learning to uphold document handling best practices and administrative excellence.
- Complete mandatory training and uphold competence levels required by the bank.
Education and Experience Requirements
- Bachelor’s degree required.
- At least 1 year of relevant experience in administrative or logistical support, demonstrating integrity and reliability in task completion, including event and meeting support.
