Role Overview and Responsibilities
- Accurately and timely handle purchase requisitions and purchase orders.
- Manage day-to-day purchasing operations to ensure smooth hotel functions without disruption.
- Obtain quotes, negotiate terms with suppliers, and foster positive vendor relations.
- Collaborate with department leaders to assess purchasing needs and sustain adequate inventory levels.
- Monitor purchase orders, track deliveries, and follow up on any outstanding transactions.
- Examine invoice matching reports; resolve discrepancies by coordinating with suppliers and Finance.
- Keep procurement records and purchasing databases up to date with delivery statuses.
- Compile purchasing reports and maintain comprehensive documentation.
- Support supplier evaluations and maintain an approved vendor list.
- Ensure adherence to hotel purchasing policies, company standards, and ethical procurement guidelines.
- Coordinate with internal departments to fulfill operational and project purchasing requirements.
- Promote cost efficiency by identifying improvement opportunities and reducing waste.
- Uphold high standards of health, safety, hygiene, and workplace compliance consistently.
- Carry out additional responsibilities as assigned by the Purchasing Manager.
Qualifications and Skills
- Bachelor's degree or diploma in Supply Chain Management, Purchasing, Business Administration, Hospitality Management, or related discipline.
- At least 2 years' experience as a Purchasing Coordinator or in a similar role, preferably within a 4-star or 5-star hotel environment.
- Comprehensive understanding of hotel procurement processes, purchasing cycles, and supplier management.
- Familiarity with hotel ERP systems or procurement software.
- Proficiency in Microsoft Office, especially Excel.
- Strong skills in organization, analysis, problem-solving, negotiation, communication, and interpersonal relations.
- Attention to detail, accuracy, and effective time management.
- Good knowledge of inventory control, invoice reconciliation, and maintaining procurement documentation.
