Summary
We are looking for a detail-focused and highly organized individual to join the Product to Market Transformation team as a Learning & Development/Change Management Operations Coordinator. This position ensures smooth operation of Product to Market (P2M) learning experiences, encompassing in-person, hybrid, and virtual formats. Key coordination tasks include room booking, calendar management, enrollment tracking, certification handling, materials preparation, catering organization, supply management, reporting, invoicing, and shared inbox oversight.
Key Responsibilities
- Manage room bookings and calendar scheduling for various learning sessions, ensuring accurate timing, appropriate buffers, and clear venue details across all delivery modes.
- Oversee enrollment processes such as participant tracking, roster updates, management of distribution lists, and access to branding groups.
- Administer shared team inboxes and distribution lists by sorting inquiries and ensuring prompt replies.
- Compose and dispatch communications to facilitators and participants, covering session information, technical setup guidance, and reminders.
- Coordinate certification-related operations including rewards handling, distribution of gifts and certificates, milestone tracking, planning certification celebrations, and supporting recognition events.
- Prepare and distribute educational materials; upload session recordings and assets to SharePoint; maintain organized digital repositories.
- Manage inventory and distribution of program merchandise and recognition items; arrange catering and supplies for in-person and hybrid events.
- Handle certification operations within the learning platform by managing user groups, creating and releasing assessments, scheduling assessment periods, and generating reports with insights and recommendations.
- Record attendance data, gather feedback, and compile post-session reports.
- Assist with survey dissemination, measurement coordination, and conducting internal retrospectives like Start/Stop/Continue sessions.
- Process vendor invoices, monitor expenses, and support budget documentation.
- Maintain and update the Training Action Plan, tracking timelines, statuses, risks, materials, and resources throughout each training cycle and certification period.
- Provide on-the-day support for sessions including attendance reminders, participant coordination, speaker reception, and Q&A/chat facilitation.
Candidate Requirements
- Proven experience in learning operations, event coordination, training logistics, or program administration in a corporate environment.
- Exceptional organizational skills with meticulous attention to detail and the ability to juggle multiple priorities effectively.
- Proficiency in managing shared inboxes, calendars, and distribution lists.
- Preferred experience in supporting certification programs or digital learning platforms.
- Excellent written communication skills capable of crafting clear, professional messages.
- A proactive, reliable, and responsive approach with strong customer service orientation.
- Comfortable collaborating across functions and working within fast-paced transformation initiatives.
Compensation & Benefits
The pay range for this position in the U.S. is $47.00 to $48.00 per hour. Eligible non-exempt employees receive overtime pay at 1.5 times the base hourly rate for hours beyond 40 per week or as per applicable laws. The final salary offer considers relevant skills, education, and experience.
