Role Overview
We are seeking a Payroll and Benefits Administrator to join our People Operations team. In this role, you will manage comprehensive payroll processes for our expanding workforce, focusing primarily on California employees where intricate wage and hour laws apply. Your responsibilities involve ensuring prompt and accurate salary payments and managing benefits administration efficiently using UKG platforms.
Key Responsibilities
- Handle semi-monthly payroll submissions for all staff utilizing UKG Pro and Workforce Management for precise and legal compliance payroll execution.
- Examine payroll data for inaccuracy and inconsistencies before closure of each pay period.
- Address and resolve employee payroll queries promptly.
- Manage various payroll-related matters, including taxes, garnishments, and system configurations.
- Assist management with payroll-related inquiries such as timecard verifications, approval procedures, and resolving UKG timekeeping issues.
- Oversee administrative activities for employee benefits, covering enrollments, life changes, terminations, and carrier data transfers; act as the primary contact for benefits inquiries.
- Maintain employee payroll records accurately, including pay rates, deductions, and tax withholdings in UKG.
- Support year-end payroll activities including W-2 generation, commission letter handling, and account reconciliation.
- Assist with 401(k) plan administration, including reporting analysis and compliance.
- Perform additional tasks related to payroll and benefits as the business requires.
Success Milestones
- Within 30 days: Complete UKG system training and manage a full payroll cycle independently with basic accuracy.
- Within 60 days: Process payroll with minimal supervision, expertly applying California payroll laws and identifying exceptions in advance.
- Within 90 days: Fully autonomous in payroll management, resolving discrepancies independently, and ensuring regulatory compliance across states.
- Within 1 year: Achieve consistent on-time and accurate payroll execution, contribute to UKG process improvements, and provide expert guidance on California payroll issues.
Candidate Profile
- Minimum two years of direct payroll processing experience with full-cycle payroll responsibilities.
- Proficiency with UKG (UltiPro or UKG Pro), Kronos, or equivalent HRIS/payroll systems.
- Solid understanding of California payroll compliance, including overtime, rest/meal breaks, and final pay regulations.
- Knowledge of federal payroll laws such as FLSA, taxation, and W-2 reporting procedures.
- Strong skills in Microsoft Excel or Google Sheets for detailed payroll auditing and reconciliation.
- Exceptional attention to detail to recognize and fix payroll discrepancies quickly.
- Excellent analytical and problem-solving abilities with a strong desire to thoroughly investigate and resolve issues.
- Holds an associate degree or higher in Accounting, Business, or related disciplines, or possesses equivalent relevant work experience.
- Experience processing payroll across multiple states is an advantage.
Compensation and Benefits
The salary for this position ranges from $68,000 to $80,000 annually.
