Role Overview
The Legal Operations Assistant plays a pivotal role in supporting the smooth functioning of the legal firm by delivering superior administrative, organizational, and operational assistance. This position enables the Legal Practice Manager to concentrate on strategic priorities, compliance, and performance oversight by efficiently handling daily operational duties.
Key Duties
- Provide operational support and act as the initial contact point for internal queries, ensuring effective communication throughout the firm.
- Help maintain and update compliance registers related to SRA, GDPR, AML, complaints, and risk assessments.
- Assist in preparing audit documentation, regulatory reports, and file reviews while keeping policies and procedure templates current and accessible.
- Support HR functions including absence monitoring, training record maintenance, appraisal scheduling, recruitment coordination, and managing confidential personnel data.
- Assist with internal communication initiatives and staff engagement activities.
- Facilitate onboarding and offboarding processes by preparing induction materials and organizing training schedules.
- Contribute to financial activities by aiding in the preparation of management reports, KPI dashboards, and budget monitoring support.
- Support client complaint handling processes and collaborate on maintaining records alongside the independent complaints handler.
- Coordinate responses to client inquiries to uphold professional standards.
- Assist in implementing new systems and enhancements, coordinate internal projects such as policy revisions, office relocations, and IT upgrades, and manage project timelines using tracking tools.
Candidate Requirements
- Excellent organizational abilities capable of managing multiple priorities.
- Strong written and verbal communication skills.
- High degree of professionalism and discretion in handling sensitive information.
- Proficiency in Microsoft Office applications (Word, Excel, Outlook) and familiarity with case management software.
- Experience in legal, professional services, or similarly regulated environments is advantageous but not mandatory.
- Demonstrated ability to work proactively, address challenges, and support team members across levels.
- Background in administrative roles with proven multitasking capabilities.
- Knowledge of compliance, HR, finance, or operational processes highly beneficial.
- Understanding of GDPR, confidentiality obligations, and professional conduct standards preferred.
