About the Role
We are seeking a highly organised, proactive, and enthusiastic Executive Support Assistant to provide vital support to the Executive Assistant of the Founder at a prestigious global education organization. This role offers exposure to senior leaders across various departments including Finance, Human Resources, Marketing, M&A, and corporate functions, providing a comprehensive view of executive operations.
This dynamic position involves managing multiple priorities such as diary management, international travel coordination, meetings, and business and personal administration. Working closely with an experienced Executive Assistant, you will develop valuable skills enabling a successful career in executive support.
Key Responsibilities
- Deliver day-to-day administrative backing to the Executive Assistant of the Founder.
- Manage a complex calendar spanning multiple international time zones.
- Arrange international travel logistics including bookings for flights, accommodations, visas, transfers, and comprehensive itineraries.
- Organize meetings, prepare relevant documentation, and ensure action items meet deadlines.
- Provide versatile administrative assistance for a range of business and personal matters.
- Support administration of the Founder’s global property assets by liaising with property managers, suppliers, and contractors, as well as coordinating maintenance and record keeping.
- Coordinate property-related travel, logistical elements, access arrangements, and deliveries across different countries.
- Handle personal administrative tasks such as appointments, reservations, gifting, and lifestyle requests with utmost discretion.
- Research and manage various business and personal projects.
- Build and maintain positive relationships with internal teams and external stakeholders including senior executives and professional service providers.
- Manage multiple workflows ensuring timely completion of all tasks.
- Anticipate administrative requirements and proactively implement solutions.
- Adapt efficiently to changing priorities in a fast-paced, international work environment.
Candidate Profile
This position is well suited to candidates with prior experience in administrative, team assistant, personal assistant, or coordinator roles who are aiming to establish a long-term career in executive support. Successful applicants are highly organised, detail-oriented, professional, and able to excel in a busy environment while maintaining discretion.
Required Skills and Experience
- Previous experience in administrative or assistant roles including Team Assistant, PA, or Coordinator.
- Outstanding organisational and time-management abilities.
- High attention to detail with a dedication to quality work.
- Excellent communication skills, both written and verbal.
- Professional, confident, and approachable demeanor.
- Proficiency in Microsoft Office suite, particularly Outlook, Word, Excel, and PowerPoint.
- Experience in coordinating travel, meetings, or events is advantageous.
- Familiarity with processing expenses and company credit cards is a plus.
- Knowledge of travel management platforms such as Egencia or similar tools is beneficial.
- A proactive mindset with strong problem-solving capabilities.
- Capacity to independently manage multiple priorities and work well within a team.
- Absolute discretion and professionalism in handling confidential information.
