About the Role
We seek a highly organized, energetic, and proactive Executive Assistant to work closely with the Founder and Director of Advanced Institute of Nondestructive Testing & Training (ANDT). This position is a unique opportunity to become the founder's trusted aide, contributing substantially to business strategy, operations, marketing, travel, and enhancing daily productivity. This is more than a traditional office job, requiring active involvement in multiple facets of the organization.
Key Responsibilities
- Support the Founder through morning gym sessions by accompanying them and capturing workout videos and photos for social media.
- Prepare healthy, oil-free meals using an Air Fryer and organize the Founder's weekly clothing, including outfits for office, gym, outings, and nightwear.
- Manage daily schedules and reminders to ensure the Founder maintains punctuality.
- Handle professional email correspondence, screen incoming calls, and manage Google Calendar and meetings efficiently.
- Coordinate travel arrangements, appointments, hotels, and business visits.
- Attend meetings with the Founder, take comprehensive notes, and track assigned tasks until completion.
- Prepare reports, presentations, and summaries of meetings.
- Engage in business development by contacting engineering colleges, ITIs, polytechnics, universities, industries, and corporates. Schedule webinars, seminars, industrial visits, and guest lectures while liaising with HR departments and placement cells.
- Maintain CRM databases and follow up with prospects diligently.
- Assist with content creation by capturing high-quality videos and photographs, creating YouTube videos, Instagram reels, LinkedIn posts, handling communication with editors and designers, and maintaining a content calendar.
- Coordinate communication across departments, ensure timely completion of critical tasks, maintain documentation and digital records, and undertake various tasks aimed at enhancing the Founder's productivity.
Required Qualifications and Skills
- Bachelor's degree is preferred but fresh graduates with exceptional communication and organizational abilities are welcome to apply.
- Experience in roles such as Executive Assistant, Personal Assistant, Operations Coordinator, Project Coordinator, or similar positions is advantageous.
- Strong organizational skills with great attention to detail and excellent time management capabilities.
- Ability to handle multiple responsibilities simultaneously with a positive and fast-learning mindset.
- Professional communication and appearance are essential, with willingness to travel as needed.
- Comfort working in a dynamic, fast-paced environment.
Technical Competencies
- Proficient in Microsoft Office suite including Word, Excel, PowerPoint.
- Experienced with Google Workspace tools such as Gmail, Calendar, Docs, Sheets, and Drive.
- Familiarity with AI productivity tools like ChatGPT.
- Experience with Canva, and basic video editing software such as CapCut preferred.
- Skills in smartphone or camera video and photography are necessary.
- Strong internet research and online communication skills.
Work Schedule and Additional Information
- Workday begins early in the morning to support the Founder’s fitness routine (approx. 6:00 AM to 7:30 AM) and continues through standard business hours.
- Occasional travel and extended hours may be required based on business demands and events.
