About the Role
We are looking for a meticulous, proactive, and professional Executive Assistant / Office Manager to support the CEO and CFO. This pivotal role involves managing complex schedules, organizing high-level meetings, overseeing administrative tasks, and ensuring effective functioning of the executive office.
Key Responsibilities
- Deliver comprehensive administrative support to the CEO and CFO.
- Efficiently handle complex calendars and meeting arrangements.
- Coordinate domestic and international business travel, including visa processing, flight bookings, accommodation, and itineraries.
- Prepare agendas, presentations, reports, and executive communications.
- Document meeting minutes and track follow-up actions to ensure timely completion.
- Serve as the main liaison between executives and internal/external stakeholders.
- Handle confidential documents and sensitive information with utmost discretion.
- Organize board meetings, investor gatherings, and executive presentations.
- Manage daily operations of the executive office to maintain smooth administration.
- Arrange company events, executive meetings, and business functions.
- Coordinate with various departments to ensure executive projects and requests are completed promptly.
- Monitor office supply levels, manage vendor relationships, and oversee administrative budgets as needed.
- Support special projects and strategic tasks assigned by management.
Qualifications and Experience
- Bachelor's degree in Business Administration or related discipline preferred.
- Minimum of five years' experience as an Executive Assistant, Personal Assistant, or Office Manager.
- Prior experience in real estate development, construction, or property development sectors highly desirable.
- Demonstrated experience supporting C-suite executives such as CEO, CFO, Chairman, or Managing Director.
- Strong command of English, both written and verbal communication.
- Exceptional organizational and multitasking skills.
- Exemplary professionalism with the ability to handle confidential matters responsibly.
- Advanced knowledge of Microsoft Office applications including Excel, PowerPoint, Word, and Outlook.
- Proficiency in preparing detailed reports, presentations, and executive-level documents.
- Ability to prioritize multiple duties and perform effectively under pressure.
- Excellent problem-solving and interpersonal skills.
- Prior work experience in the UAE will be viewed as an asset.
