Position Overview
The Coordinator for Total Rewards Operations plays a vital role supporting the Total Rewards function's operational and administrative activities. This position involves managing vendor relationships, handling invoices and purchase requests, maintaining policy documentation, supporting payroll governance, benefits, and equity administration, and ensuring the accuracy of related data and processes. The role requires collaboration with multiple internal departments such as Payroll, Finance, Procurement, Talent Acquisition, HR Business Partners, and external vendors to facilitate seamless delivery of Total Rewards programs globally.
Key Duties and Responsibilities
- End-to-end management of vendor invoices for Total Rewards, including validation, purchase requisitions, tracking, and timely payments.
- Coordination with Finance, Treasury, Procurement, equity and payroll vendors, insurance brokers, and benefit providers to ensure accurate and prompt invoice processing.
- Maintaining comprehensive records of vendor contracts, Statements of Work, renewal timelines, and supporting documents.
- Monitoring invoice statuses, resolving queries, and conducting follow-up on outstanding payments with both internal stakeholders and vendors.
- Facilitating vendor onboarding and offboarding procedures.
- Overseeing vendor performance and escalating operational concerns when necessary.
- Providing administrative assistance for compensation, benefits, payroll governance, and equity initiatives.
- Managing employee benefit enrollments, updates, and terminations in liaison with external vendors.
- Supporting equity-related activities such as employee movements, vesting, and associated reporting.
- Contributing to annual Total Rewards events such as salary reviews, bonus distributions, and benefit renewals by preparing reports and coordinating necessary documentation.
- Helping prepare Total Rewards communications and announcements in collaboration with Talent Management.
- Assisting with payroll governance activities, audit support, and statutory reporting requirements.
- Maintaining, reviewing, and updating Total Rewards policies, guidelines, FAQs, Standard Operating Procedures, approval matrices, and process documents.
- Ensuring accessible, up-to-date Total Rewards information for Talent Acquisition, HR Business Partners, managers, and staff.
- Managing updates to internal HR portals and SharePoint sites relevant to Total Rewards.
- Facilitating the rollout of new policies, compensation programs, and process modifications.
- Maintaining accurate Total Rewards details within Workday and other HR systems with regular data validation and reconciliation.
- Generating recurring reports, dashboards, and ad hoc analyses for the Total Rewards team.
- Supporting HR system testing and integration of new Total Rewards processes.
- Acting as the primary contact point for employee queries related to benefits, payroll, equity, and Total Rewards management.
- Building and nurturing effective relationships with Talent Acquisition, HR Business Partners, Payroll, Finance, Procurement, Legal teams, and external vendors.
- Coordinating communications regarding Total Rewards programs throughout the organization.
- Participating in regional and global Total Rewards projects and continuous improvement initiatives.
- Assisting with documentation updates, process enhancements, and automation efforts.
- Engaging in HR system upgrades and vendor implementations.
- Identifying and proposing opportunities to improve operational workflows and enhance employee experiences.
Qualifications
- Diploma or Bachelor's degree in Human Resources, Business Administration, Finance, Accounting, or related field.
- Between 2 to 5 years of experience in HR functions, preferably within Total Rewards, Compensation & Benefits, Payroll, HR Operations, or HRIS.
- Experience working with HR systems such as Workday and BIPO is preferred.
- Familiarity with SharePoint platform is advantageous.
- Exposure to supporting regional or global HR operations is a plus.
Knowledge and Skills
- Solid understanding of HR operations and employment practices.
- Experience managing vendor invoicing and coordinating finance and procurement processes.
- Familiarity with employee equity/share plan administration platforms is desirable.
- Advanced proficiency in Microsoft Excel, including PivotTables, XLOOKUP/VLOOKUP, and data analytics.
- Strong attention to detail combined with excellent numerical and analytical abilities.
- Highly organized with effective time management capabilities.
- Excellent interpersonal and communication skills capable of managing multiple stakeholders.
- Capable of handling confidential information professionally and discreetly.
