Role Overview
As a Business Development Coordinator based in Abu Dhabi, UAE, you will play a pivotal role in leading bid activities for one of the largest Project Management Consultants (PMC). Your work involves effective communication and coordination among multidisciplinary internal and external stakeholders.
Key Responsibilities
- Analyze RFP documents meticulously to prepare Bid No Bid (BNB) decisions, evaluate requirements, and draft clarification questions for clients.
- Create a detailed compliance matrix and a comprehensive schedule for the complete proposal process through submission.
- Organize and lead proposal kick-off meetings with both internal and external participants to discuss requirements, verify compliance, assign responsibilities for RFP sections, and review timelines.
- Guide proposal writers by reviewing initial outlines to ensure all RFP specifications are addressed thoroughly.
- Establish templates and standards for the proposal’s appearance, style, and layout, collaborating with graphic designers.
- Partner with Capture Managers throughout proposal development to ensure alignment.
- Author non-technical parts of the proposal, including project descriptions, resumes, team qualifications, and management plans.
- Coordinate with Contract teams to verify financial, legal, and proposal form compliance per RFQ/RFP standards.
- Serve as the central contact for all team members concerning RFP queries and ensure complete understanding of RFQ/RFP requirements.
- Review all drafts and final proposals to confirm compliance, accuracy, and high-quality presentation with effective visual elements.
- Facilitate pink and red review meetings to gather and integrate reviewer feedback.
- Develop recovery plans to address review comments prior to final submission.
- Identify potential challenges during proposal development and formulate practical solutions.
- Plan production schedules and resource allocation to ensure timely, quality delivery, including managing outsourced printing if necessary.
- Conduct final quality and compliance checks on printed proposals to guarantee high standards before submission.
Qualifications & Skills
- Bachelor's degree in Business Administration, Civil Engineering, or related disciplines.
- A minimum of 5 years experience in a similar role.
- Exceptional organizational skills and ability to operate collaboratively within large teams.
- Strong communication skills in English; Arabic language skills are advantageous.
- Proficient in Microsoft Office 365 suite.
Preferred Qualifications
- At least 2 years’ experience in a PMC or comparable environment.
- Master’s degree in a relevant field is a plus.
- Demonstrated ability to meet tight deadlines, multitask efficiently, and maintain meticulous attention to detail.
