About The Company
The University of Michigan Injury Prevention Center is a nationally recognized research organization devoted to advancing injury prevention through innovative research, education, and community partnerships. About The Role
The Injury Prevention Center seeks a detail-oriented, proactive, and motivated Administrative Specialist Associate to support its extensive portfolio of research, training, and outreach activities. This role includes providing critical administrative assistance for smooth Center operations. Responsibilities include coordinating meetings, organizing logistical details for workshops and conferences, supporting communications, and handling financial transactions. Additionally, the specialist maintains records, obtains CME accreditation for educational programs, and aids community outreach efforts. This role is ideal for candidates who excel in dynamic, collaborative environments and want to contribute to meaningful injury prevention initiatives.
Qualifications
- Associate degree or equivalent professional experience with at least five years in administrative support
- Strong written and verbal communication skills
- Ability to manage sensitive and confidential information with discretion
- Excellent organizational skills and ability to manage multiple priorities effectively
- Proficient in Microsoft Office Suite including Excel, Word, SharePoint, and PowerPoint
- Experience with EndNote, CANVA, and Emburse preferred
- Proven ability to collaborate across diverse groups such as faculty, staff, students, and external partners
- Good judgment, initiative, and the capacity to work independently and collaboratively in a fast-paced environment
Responsibilities
- Organize and schedule meetings, workshops, trainings, conferences, and community outreach events
- Maintain faculty curriculum vitae and related documents in the Elements system
- Support daily administrative functions including travel arrangement, space management, procurement, and promotional materials
- Assist with financial procedures like travel reimbursements, expense reports, and event expenses
- Manage event logistics such as registration, venue coordination, and post-event assessments
- Monitor and order office supplies, coordinate with vendors to ensure availability
- Obtain Continuing Medical Education (CME) accreditation for webinars, symposiums, and educational programs
- Perform other administrative support duties as needed to fulfill the Center’s mission and operational needs
