About the Role

A leading creative live events and music production studio is seeking a proactive and highly organised Studio Assistant to join on a maternity cover basis for 12 to 14 months, starting in August 2026. This key role forms a vital part of the company, providing support to Directors with administration, financial management, and project coordination in a fast-paced creative setting.

Primary Responsibilities

  • Manage Directors' email inboxes, handling all incoming communications, project updates, and general correspondence.
  • Schedule internal and external meetings with both staff and clients.
  • Coordinate and book national and international travel arrangements for the team.
  • Organise and maintain file systems, ensuring proper storage of internal documents and client project files according to naming standards.
  • Take detailed notes during Directors’ calls.
  • Prepare and distribute Monday and Friday weekly briefing summaries for Directors, highlighting internal and external developments along with upcoming key tasks.
  • Provide occasional personal assistance to Directors relating to international work and lifestyle commitments.
  • Collaborate with Directors to create client quotes.
  • Take ownership of invoice processing, ensuring timely dispatch of client invoices and accurate recording of staff travel expenses.
  • Manage company-wide expense tracking and upload data into accounting software to support internal financial processes.
  • Assist Directors with daily communications with clients including booking calls and monitoring deadlines.
  • Maintain accurate and updated project records using project management software, centralising briefings, notes, contacts, references, and task assignments.
  • Coordinate resources internally and externally, managing project timelines to ensure proper staffing and quality delivery.
  • Lead task management across staff and freelancers, monitoring progress and escalating issues to Directors as necessary.

Experience and Skills Required

  • Prior experience within creative, events, or production environments is highly desirable.
  • Proficiency in Xero accounting software and Teamwork project management tool is advantageous.
  • Exceptional organisational abilities coupled with excellent written communication skills and a calm, dependable demeanor.
  • Capability to manage multiple priorities simultaneously, engage effectively with senior stakeholders, and proactively take initiative.
  • Must be available for weekly evening work to align with USA time zones; flexible scheduling autonomy provided.
