About the Role
A growing construction firm in North Kerry with a workforce of around 35 employees including permanent and contract staff is searching for an Office Manager/Bookkeeper. This multifaceted position involves managing daily office functions and providing crucial support across multiple departments to contribute significantly to the company's success.
Key Responsibilities
- Oversee and optimize daily office operations to ensure smooth administrative workflows.
- Handle all incoming and outgoing company communications including calls, emails, and visitors.
- Maintain comprehensive employee files, company records, and organized filing systems.
- Assist management with scheduling appointments, coordinating meetings, and general office tasks.
- Manage HR-related duties such as onboarding new staff and facilitating internal communications.
- Administer accounts payable and receivable activities accurately.
- Prepare payroll data and coordinate with external payroll vendors when necessary.
- Process invoices, manage supplier statements, and handle purchase order documentation.
- Track and reconcile company financial transactions and expenses thoroughly.
- Collaborate with management and external accountants to support financial reporting and compliance.
- Maintain all construction-specific documentation, contracts, and necessary compliance paperwork.
- Ensure that all documentation is precise, up-to-date, and readily accessible.
- Coordinate insurance, licensing, certifications, and regulatory documents as required.
- Assist project teams by managing documents and supporting reporting needs.
Qualifications and Experience
- A minimum of three years' experience in an Office Manager, Bookkeeper, Finance Administrator, or Accounts Administrator role.
- Experience within construction, engineering, manufacturing, or other project-based industries is highly preferred; however, strong office management and bookkeeping experience from other sectors will also be considered.
- Solid knowledge of financial administration including bookkeeping, accounts payable and receivable, and payroll assistance.
- Ability to operate independently while contributing to a team-oriented environment.
- Proficiency in Microsoft Office and accounting software is essential.
Salary and Terms
Salary will be determined based on the candidate’s experience and is open to negotiation.
