About The Opportunity
Operating within the dynamic Import & Export industry across the UAE, our company ensures smooth global trade by handling logistics coordination, managing vendors, and delivering excellent administrative support. As a crucial part of cross-border commercial activities, we depend on meticulous, organized, and proactive office personnel to maintain seamless operations ranging from handling documents and managing correspondence to coordinating front-office activities and liaising with suppliers.
Role and Responsibilities
- Oversee daily front-desk operations, managing incoming calls, emails, and visitor interactions with professionalism and efficiency.
- Prepare and organize import/export documents, invoices, and customs paperwork following UAE regulatory standards.
- Assist in arranging meetings, keeping management calendars up-to-date, and planning travel schedules for executives and international partners.
- Support procurement processes and vendor communications by tracking purchase orders, deliveries, and maintaining supplier information.
- Perform filing, data entry, and internal reporting duties to maintain accuracy and ensure critical business records are digitized and backed up.
- Serve as a communication bridge between internal departments and external stakeholders to facilitate timely completion of operational tasks.
Skills and Qualifications
Essential:
- Proficiency in Microsoft Office Suite including Word, Excel, and Outlook.
- Experience with document management systems.
- Basic knowledge of accounting or invoicing programs such as Tally or QuickBooks.
- Background in customer service or front-desk functions.
- Familiarity with UAE customs or trade documentation processes.
- Fluent English speaking and writing skills.
Preferred:
- Arabic language skills.
- Experience working in logistics or trading organizations.
- Knowledge of Dubai Customs or Emirates Post digital platforms.
