Job Overview
We are seeking a diligent and well-organized Office Administrator to oversee daily office operations at Colours Events & Activations based in Surat. This role involves managing vendor and client interactions, maintaining accurate documentation, and supporting the event execution team. Additionally, the candidate will assist with social media-related activities including posting event updates and coordinating digital content.
Key Responsibilities
- Oversee and manage day-to-day administrative office tasks.
- Maintain accurate records including client files, quotations, invoices, and agreements.
- Handle professional communication via phone calls, emails, and WhatsApp messages.
- Liaise with vendors, suppliers, hotels, and clients for smooth coordination.
- Organize meetings and maintain calendars efficiently.
- Track and report office expenses and maintain related administrative records.
- Manage office inventory and stationery supplies.
- Provide support to the event operations team before, during, and after events by preparing necessary documents and coordinating logistics.
- Coordinate vendor documentation and follow-ups related to events.
- Prepare event files, checklists, and reports as required.
- Assist with bookings, permissions, and documentation related to event management.
- Manage social media activities, including uploading event photos, reels, and updates to Instagram, Facebook, and LinkedIn.
- Collaborate with designers for creative materials and scheduling content posting.
- Respond to social media inquiries and forward potential leads to the sales team.
- Maintain a content calendar to ensure regular social media activity and keep profiles current with recent events and achievements.
- Create and maintain Excel reports, Management Information Systems (MIS), and organize company data using Google Drive.
- Generate daily and weekly administrative reports as needed.
Required Skills and Qualifications
- Excellent communication skills in English; knowledge of Hindi and Gujarati is preferred.
- Proficiency with MS Office applications such as Excel, Word, and PowerPoint.
- Basic experience with Canva design tool.
- Familiarity with social media platforms: Instagram, Facebook, and LinkedIn.
- Competency in drafting professional emails.
- Strong organizational and multitasking capabilities with the ability to meet deadlines.
- A positive attitude and eagerness to learn.
Preferred Qualifications
- Graduation in any field.
- One to three years experience in administration, office management, or event industry.
- Fresh graduates with excellent communication and computer skills are encouraged to apply.
