Operating primarily from its head office in Arusha, Tanzania, and a branch in Dar es Salaam, the company offers services including large-format printing, CNC and laser fabrication, screen printing, signage, and custom design projects.
Job Summary
We are seeking a dependable and organized Office Administrator to oversee daily administrative functions at our Arusha head office. This vital role supports smooth office operations, manages client interactions, maintains accurate records, and assists staff, enabling production teams to focus on delivering high-quality work.
Key Responsibilities
- Oversee front-office duties such as welcoming visitors, handling phone calls and email inquiries, and directing communications to appropriate departments.
- Prepare and manage financial documents including quotations, invoices, receipts, and delivery notes in collaboration with sales and production teams.
- Maintain organized physical and digital filing systems for client records, job orders, and company documentation.
- Monitor office supplies and restock when necessary to ensure uninterrupted operations.
- Assist with HR administrative tasks like attendance monitoring, maintaining leave records, and processing basic staff documentation.
- Coordinate administrative activities with the Dar es Salaam branch to ensure consistency across offices.
- Schedule meetings, appointments, and follow-ups with clients and suppliers efficiently.
- Keep petty cash records and provide basic bookkeeping assistance.
- Ensure that company licenses, permits, and compliance documents are current and accessible.
- Carry out additional administrative duties as assigned by management.
Requirements
- Diploma or Bachelor's degree in Business Administration, Office Management, or related fields.
- Between one and three years of experience in office administration or comparable roles; experience in printing, design, or manufacturing sectors is an advantage.
- Strong organizational capabilities and ability to multitask effectively.
- Excellent communication skills in both Swahili and English, both written and verbal.
- Proficiency with Microsoft Office applications such as Word and Excel and familiarity with basic bookkeeping and record-keeping.
- Professional demeanor, well-presented, and committed to delivering excellent customer service.
