Role Description
The Office Administrator ensures smooth daily office operations by managing facilities, maintaining a safe and engaging workplace, and providing administrative support. This role entails handling vendor relationships, office communications, employee engagement events, health and safety compliance, and workplace services.
Key Responsibilities
- Act as the main liaison with the office landlord.
- Serve as the central point of contact for all local office administrative communications.
- Oversee courier and postal services, managing all incoming and outgoing shipments.
- Plan and execute staff events, team activities, and office celebrations, handling venue coordination, logistics, supplier management, and event delivery.
- Maintain office supplies and ensure stock levels are sufficient as required.
- Manage office-related purchase orders, invoices, and maintain accurate expense documentation.
- Assist with onboarding and offboarding processes, particularly regarding office administration and IT setups such as laptop arrangements.
- Keep organized and updated records including contracts, office documentation, and service agreements.
- Ensure that office facilities are maintained, operational, and meet high standards.
- Comply with all local occupational health and safety standards and regulations within the workplace.
Qualifications and Experience
- Bachelor's degree in Business Administration, Facilities Management, Hospitality Management, or a related discipline is preferred.
- 3 to 5 years of proven experience in office management, facilities management, workplace operations, or equivalent roles.
- Experience working with vendors, contractors, landlords, and managing service providers.
- Proven ability in organizing corporate events and facilitating employee engagement initiatives.
- Familiarity with workplace management tools and systems is advantageous.
