Overview

We are seeking a motivated and passionate Coordinator for our Talent Acquisition team in New York, NY. Reporting to the Director of Talent Acquisition, this role offers a hybrid work arrangement: three days on-site in the NYC office and two days remote. The contract duration is approximately 6 to 7 months. The ideal candidate is detail-oriented, values high-quality work, and thrives in a collaborative recruitment environment.

Key Responsibilities

  • Schedule interviews (in-person and virtual) for candidates, recruiters, and business teams, ensuring a positive experience for all.
  • Manage referral tracking and payment processing.
  • Prepare offer letters and contracts, initiate background checks, and escalate any issues to the Director.
  • Coordinate and ensure full completion of new hire onboarding.
  • Work closely with recruiters and hiring managers throughout the recruitment process.
  • Provide ad hoc recruitment reports to support recruiters.
  • Maintain data accuracy in systems by regularly communicating with recruiters and HR Strategy & Operations teams.
  • Utilize Workday efficiently, seeking process improvements where possible.
  • Maintain and update recruiting documents and process materials.
  • Handle onboarding of vendors and process talent acquisition related invoices.
  • Manage the TA ticketing system, ensuring adherence to service level agreements (SLAs).
  • Supervise recruiting coordination activities performed by external partners to guarantee consistency and quality.
  • Audit recruiting processes to identify gaps and areas for improvement.

Qualifications and Skills

  • 1 to 3 years of experience in recruitment or administrative support roles.
  • Proficiency with Workday and automated recruiting platforms.
  • Strong communication skills, both verbal and written, with a customer service approach.
  • Excellent interpersonal skills across all management levels.
  • Familiarity with tools such as Canva, Sterling, Gmail, Google Docs, Slides, Forms, and Sheets.
  • Experience multitasking and coordinating diverse responsibilities.
  • Ability to use Recruiting functions within Workday effectively.
  • Detail-oriented with strong organizational abilities.
  • Experience with ServiceNow is advantageous.

Education

  • Bachelor’s degree preferred, preferably in Business Administration, Management, Social Work, or related disciplines.
  • Relevant coursework in project management, client relations, or organizational development is highly favorable.

Additional Qualifications

Excellent analytical skills to resolve issues quickly, strong organizational skills for managing multiple clients and resources, familiarity with Microsoft Office and CRM or customer support software, and comfort working with data management and reports.
