Role Overview
We are seeking a highly organised and proactive Executive Assistant to support Barney, the CEO and Founder of Cleo. This role exceeds typical EA duties, involving project management, workflow optimisation, and driving execution on behalf of the CEO to enable focus on strategic priorities. The position provides exceptional exposure to high-level decision-making in a fast-paced startup environment.
Key Responsibilities
- Proactively manage and coordinate the CEO's complex calendar, balancing business priorities and resolving scheduling conflicts ahead of time; provide similar support to other executive team members as needed.
- Assist with project coordination by gathering data, preparing materials, and ensuring timely decisions; oversee the company newsletter by coordinating contributors and developing content.
- Prepare for meetings by collecting relevant information, crafting succinct briefing documents, and ensuring stakeholders are well-prepared; follow up to ensure clear action on decisions.
- Manage all aspects of CEO travel—planned and unexpected—to maximise productivity during transit.
- Serve as a trusted liaison between the CEO, internal teams, and external partners, managing communications to facilitate smooth coordination and responses.
- Identify and implement process improvements to reduce administrative burdens and enhance operational efficiency.
- Support personal administrative tasks for the CEO such as bill payments and booking appointments.
- Maintain strict confidentiality and exercise sound judgement while representing both the CEO and Cleo with the utmost professionalism.
Candidate Profile
- A minimum of five years' experience as an Executive Assistant or a similar role, preferably within a fast-moving startup or supporting senior executives.
- Additional experience in project management or process improvement is advantageous.
- Proven ability to manage or coordinate responsibilities of others is preferred.
- Exceptional organisational capabilities with the aptitude to juggle multiple priorities efficiently.
- Strong analytical thinking, problem-solving skills, and meticulous attention to detail.
- Excellent communication skills, both written and verbal, delivered succinctly and clearly.
- Demonstrated autonomy and adaptability within a dynamic, evolving work environment.
- High emotional intelligence, discretion, and sound judgement particularly when managing sensitive information.
- Self-driven with a proactive mindset, taking initiative without requiring detailed instructions.
- Strong ownership mentality coupled with an ambition to achieve tangible outcomes.
