Role Overview
North Texas Film Alliance is searching for a highly organized Executive Assistant to support its CEO, a dynamic individual who combines creative talent with executive leadership in film production, distribution, partnerships, and network expansion. This is a multifaceted role at the crossroads of entertainment, business development, and technology, requiring rapid and efficient execution in areas such as film financing, releases, investor relations, sponsorships, and coalition development.
Key Responsibilities
- Manage complex scheduling, travel arrangements, meeting logistics, and communications for the CEO, who actively contributes both creatively and managerially.
- Prepare materials including decks and briefing documents for pitches, investor meetings, and partner discussions, as well as managing follow-up actions.
- Oversee and maintain relationships across investors, sponsors, distributors, talent, and important industry players, ensuring CRM system hygiene (via HubSpot), tracking communications, and timely follow-ups tied to sales, capital raising, and sponsorship ventures.
- Support timelines and deliverables related to film production and releases, and aid in constructing and maintaining a professional network involving talent, buyers, press, and festival programmers.
- Create content such as one-pagers, pitch decks, sponsorship proposals, and social media assets utilizing tools like Canva, Adobe Creative Suite, CapCut, and DaVinci Resolve.
- Conduct research and compile market intelligence leveraging AI technologies (notably Perplexity) and Google Cloud to inform strategy, benchmark deals, and produce insightful briefing materials.
- Coordinate filmmaker cohorts, organize partner roundtables, and facilitate brand-aligned initiatives to enhance the NTFA ecosystem.
Required Experience and Skills
- Direct background in film production, distribution, festivals, or entertainment business operations with an understanding of funding cycles, rights, releases, and deal structuring.
- Proficiency with tools including HubSpot CRM, Google Cloud and Workspace, Canva, Adobe Creative Suite, CapCut, DaVinci Resolve, and AI-based research and writing platforms like Perplexity.
- Capacity to manage and maintain multi-stage business pipelines, keeping opportunities advancing smoothly and stakeholders well-informed.
- Exceptional communication skills, both written and verbal, able to craft refined emails, proposals, and summaries aimed at investors, sponsors, and partners.
- Strong organizational skills and operational discipline, especially in high-paced settings demanding project management, calendar oversight, and persistent follow-up amid competing priorities.
Desirable Qualifications
- Previous experience supporting C-level executives in media, entertainment, or tech-driven creative companies.
- Familiarity with the North Texas film community including festivals and regional incentives.
- Basic financial knowledge for managing budgets, expense reports, and deal documentation.
