Role Overview
This senior role supports the Creative Director directly, blending executive and personal assistance responsibilities with close operational involvement. The role is dynamic and requires managing a constantly shifting schedule involving diverse creative and business activities outside conventional work hours and locations. The assistant will handle frequent international travel arrangements, last-minute itinerary changes, and both personal and professional logistics with equal priority.
Key Responsibilities
- Full ownership of the Creative Director's calendar including scheduling, prioritizing, resolving conflicts, and real-time adjustments.
- Managing communications, inbox triage, and preparing meeting materials with proper context.
- Coordinating with internal and external stakeholders on the principal's behalf, accurately reflecting their priorities and tone.
- Handling personal life logistics such as appointments, errands, gifting, and household matters with the same level of commitment as business needs.
- Planning and frequently traveling internationally alongside the Creative Director, often on short notice, managing all related travel logistics and resolving travel challenges autonomously.
- Maintaining strict confidentiality of business, creative, and personal information at all times, exercising sound judgment on information sharing.
- Proactively anticipating needs and solving problems independently while communicating clearly and promptly when assistance is required.
Candidate Requirements
- At least 2 years' experience supporting a senior executive, founder, or public figure, ideally combining professional and personal assistance for the same person.
- Experience in fast-paced, creative, or founder-driven environments is highly regarded.
- Current residence in Canada is mandatory.
- Proven ability to undertake extensive international travel without restricting personal commitments and manage a flexible, high-availability work schedule including evenings and weekends.
- Exceptional discretion and trustworthiness with prior experience managing sensitive information confidentially under pressure.
- Excellent written and verbal English skills, capable of representing another person’s communication style effectively.
- Proficiency with asynchronous, remote collaboration tools such as Slack, Asana, and Google Workspace.
- Calm, resourceful, and solution-driven mindset capable of operating independently and stepping up to challenges quickly.
