Job description
Overview
Auckland Council's Corporate Property team is seeking a Facilities and Contracts Coordinator dedicated to managing and maintaining efficient corporate building facilities throughout Tāmaki Makaurau. This role requires direct involvement in ensuring council properties are safe, operational, and supportive of employees.
Key Responsibilities
- Contribute to implementing facility management and maintenance strategies that ensure cost-effective service delivery.
- Support preparation and review of contract documents, including scopes of work and requests for proposals.
- Monitor contractor compliance, performance against service levels, response times, and quality benchmarks.
- Handle variation requests submitted by facilities managers and vendors professionally.
- Carry out site inspections and audits to verify adherence to legislation, best practices, and contractual commitments.
- Maintain detailed and accurate records of projects, maintenance activities, and financial transactions to facilitate reporting.
- Develop and nurture strong relationships with contractors, landlords, and internal teams.
- Suggest and implement continuous improvement initiatives within facilities management operations.
Candidate Profile
- Possess 4 to 5 or more years' experience in facilities, property, or building management roles.
- Experience supporting asset and facilities management plans, overseeing contractor performance, and managing budgets.
- Excellent administrative and record-keeping abilities with strong attention to detail.
- Confident interpersonal skills, capable of interacting effectively with contractors and stakeholders across organizational levels.
- Knowledge of health and safety practices and contractor regulatory compliance.
- Proficient in Microsoft Office applications, including Excel, Word, and Outlook.
- A diploma related to property or facilities management is preferred but not mandatory.
- Possession of a valid New Zealand driver's license is essential.
- Prior experience managing landlord-tenant relationships is advantageous but optional.
