Job Overview and Responsibilities
The Back Office Executive will be responsible for managing various administrative and customer service functions to ensure smooth business operations. This includes professionally handling customer communications via calls, WhatsApp, and emails, preparing sales documents such as quotations, invoices, and orders, and coordinating with customers, vendors, and internal teams. The role also requires processing both website and offline orders, maintaining inventory and sales data, managing Excel reports, and overseeing general office documentation. Scheduling and coordinating installations, deliveries, and service appointments form part of the daily tasks. Additionally, maintaining an updated customer database and tracking follow-ups are key duties to support business relations.
Digital Media Management
This position entails organizing and managing digital media assets produced by the team, including sorting photographs and videos by projects, dates, and categories. The candidate will rename files following company protocols, remove duplicates, and ensure a well-maintained media library on both office computers and backup drives. Cooperation with social media and marketing teams is essential to provide required visual materials and guarantee all media is securely backed up and easily accessible for future use.
Role Requirements
- Graduate in any field; fresh graduates are welcome to apply.
- Proficient communication skills in Tamil and English; knowledge of Hindi is beneficial.
- Basic proficiency in MS Excel, Word, and Outlook.
- Competent computer skills with effective file management abilities.
- Strong attention to detail and organizational capabilities.
- Ability to manage multiple tasks and work independently.
Preferred Skills
- Familiarity with Canva or photo and video organization tools is advantageous.
- Experience with cloud storage platforms such as Google Drive, OneDrive, or Dropbox is a plus.
- Basic understanding of social media content management is favored.
