Role overview
The Wellness Officer acts as the operational owner of MARGIN, KOFISI’s workday wellness programme embedded in every Kaskazi location. Reporting into the Experience Division, this is a practical, delivery-driven position focused on making the wellness system run smoothly each day.
Core responsibilities
As the person accountable for day-to-day execution, you will coordinate class programming, manage practitioners, support member adoption, uphold facility standards, and use data to improve the experience over time.
- Take charge of the daily schedule across Sweat, Stretch, Breathe, Learn & Loosen, and Open Gym, while keeping the flow of Morning Performance, Mid-Morning Reset, Lunchtime Pulse, Afternoon Slump Breaker, and Evening Release running reliably.
- Operate the 40-minute activity and 20-minute buffer structure so showers, lockers, and changing spaces do not become congested.
- Handle bookings and check-ins through the app-based QR process or front desk, with every visit tied to the correct member ID.
- Manage session capacity at about 8 people per slot, translating to roughly 100 to 110 user-slots on weekdays, adjusted for seasonal demand.
- Recruit, coordinate, and maintain the practitioner network, including yoga teachers, HIIT and strength coaches, breathwork guides, running coaches, and massage therapists.
- Set and enforce standards for service quality, consistency, and reliability so that every session reflects the MARGIN benchmark regardless of who leads it.
- Oversee any internal wellness employees, including rota planning, performance conversations, and development support.
- Work with the food and beverage team on Productivity Packages that combine sessions with smoothie or salad options to support off-peak usage.
- Represent MARGIN confidently to members and suite guests, creating the calm and clear tone associated with the brand.
- Support engagement goals such as 70% of members using the centre at least once a week, 15% using it twice weekly, and 5% becoming high-frequency users of three or more visits per week.
- Promote variety in how members use the space and encourage quieter-time visits through reminders, prompts, and bundled Productivity Packages.
- Run special formats including Breathe Meetings, Run/Forest Club, and on-demand team wellness sessions.
- Maintain operating procedures for towels, laundry, soaps, amenities, lockers, cleaning routines, and health and safety compliance.
- Set and monitor uniform standards for wellness staff.
- Administer storage, tagging, and laundry processes for runners and cyclists using a hotel-style kit tagging system.
- Keep pricing rules clear by separating included access from chargeable team offerings such as Breathe Meetings and Run Club.
- Track booked versus actual attendance, individual usage patterns, and company-wide trends.
- Prepare monthly member wellness usage summaries to support relationship management.
- Compile organisation-level insights such as average visits per person, peak usage periods, and preferred formats.
- Share findings with the future Wellness Officer role and the Digital Experience Director to help improve the system at a broader level.
- For the next phase, coordinate with the Kaskazi Shuttle for forest runs, guided walks, and nature-based wellbeing activities.
- Assist in building Productivity Packages that combine shuttle, class access, and food and beverage into off-peak experiences.
Experience and requirements
- You should bring 4 to 8 years of experience in boutique fitness, premium hotel wellness or spa environments, or similarly high-standard hospitality operations.
- At least 2 of those years should include managing a team and a roster of external practitioners.
- You need strong operational discipline, with a proven ability to create and maintain SOPs, coordinate schedules, and run a facility to a consistently high standard.
- People leadership experience is essential, including supervision of employed staff as well as freelance or contract practitioners.
- Your communication style should be calm, clear, and welcoming, with the ability to manage expectations, brief the front desk, and put members at ease.
- Formal qualifications in fitness or wellness, such as personal training, yoga, or breathwork, are beneficial but not mandatory.
- Comfort with booking, scheduling, and member management systems is required.
- Experience launching a new concept or space from the ground up will be an advantage.
