Role overview
This remote position supports executives and leadership teams with day-to-day administrative coordination. The role is focused on keeping schedules organized, communications flowing smoothly, meetings well prepared, and routine operations on track. Success in this position depends on professionalism, accuracy, discretion, and the ability to juggle several priorities at once while working independently.
Core responsibilities
- Oversee executive calendars by arranging meetings, appointments, and timely reminders.
- Monitor incoming emails and other communications, handling priority items and replying when suitable.
- Represent executives with clear, polished, and professional communication.
- Manage internal and external correspondence and keep communication organized.
- Track tasks, deadlines, and priorities so follow-ups happen on time.
- Capture action items from meetings and conversations, then make sure they are completed.
- Support daily administrative workflows and maintain proper tracking of work in progress.
- Coordinate meetings, including agendas, materials, and virtual meeting setup.
- Record meeting notes and share summaries or action points afterward.
- Organize travel arrangements, lodging, and itineraries whenever needed.
- Make sure calendars and meeting plans align with executive priorities.
- Prepare, format, and organize documents, reports, and presentations.
- Keep digital files and records orderly and easy to retrieve.
- Assist with data entry and information management tasks.
- Ensure all documentation remains accurate, current, and accessible.
Required qualifications
- Strong spoken and written English communication skills.
- Prior experience in administration, executive support, or coordination is preferred.
- Good time management and strong organizational ability.
- High discretion and professionalism when dealing with confidential information.
- Ability to manage multiple tasks and shifting priorities effectively.
