Overview
The Student Service Associate at the Dyslexia Association of Singapore serves as the primary contact between the organization and parents. This vital role within the Virtual Administration team involves overseeing customer service, facilities management, and the virtual management of learning centres.
Key Responsibilities
- Deliver remote administrative assistance to clients.
- Ensure safety and physical upkeep of learning centres.
- Coordinate timetable planning, student placements, class transfers, and manage data related to student withdrawals.
- Compile and report student statistics to management.
- Maintain accurate student data within the management system.
- Process and submit timesheets and allowances.
- Assist with annual audits.
- Support parents in bursary applications and prepare related reports for all DAS programmes and services.
- Manage timely billing, collection, and reporting of outstanding fees across all centres.
- Aid lecturers with preparation of training materials, room setup, and technical help when needed.
- Oversee inventory management, including lending of library and training resources.
- Keep student records updated with attendance and achievements, and ensure prompt generation and distribution of academic certificates and transcripts.
- Handle applications and processing for training grants such as the Caregivers Training Grant (CTG).
- Update monthly and management reports on student enrollment with accuracy and punctuality.
- Support documentation and compliance submissions for the Committee for Private Education (CPE).
- Participate in Accounts Receivable meetings to review and resolve outstanding balances.
- Exhibit flexibility to take on additional duties as organizational needs evolve.
Qualifications & Skills
- A diploma or equivalent, preferably with experience in administration or as a virtual assistant.
- Relevant direct experience is welcome.
- Willingness to work flexible hours, including weekday evenings and weekends.
- Capable of managing multiple tasks and adapting to a dynamic work environment.
- Proficiency with Microsoft Office and database software.
- Mandarin language skills advantageous for assisting clients who communicate solely in Mandarin.
Work Schedule and Location
Staff operate according to client availability, with some centres open Monday through Sunday and up to 9 pm on weekdays. The standard workweek is 44 hours, requiring flexibility for weekend and evening shifts.
The role is primarily based at the admin centre at Toa Payoh Learning Centre but requires readiness to travel and potentially be assigned to any of the 12 DAS learning centres across Singapore, including Bedok, Bishan, Chua Chu Kang, Henderson, Jurong Point, Parkway Parade, Toa Payoh, Sengkang, Serangoon, Tampines, Woodlands, and Yishun.
Compensation and Benefits
The starting salary ranges from $2540 to $3460 monthly, depending on experience. Additional hourly allowances are provided for evening and Sunday work.
Upon successful completion of probation, employees receive leave entitlements, dental coverage, and other benefits. Medical benefits are available during probation, and training incentives are granted to deserving staff.
