Job description

Role Overview

We are seeking a detail-oriented and proactive Shipping Administrator to join our team full time at our Kent Science Park location. This hands-on position involves ensuring precise preparation, timely dispatch, and thorough tracking of both domestic and international shipments. You will manage shipping documents, support customs processes, and maintain accurate shipment records. Additionally, you will provide general administrative assistance and support the onsite office.

Key Responsibilities

  • Prepare shipping labels and all necessary documentation for shipments within the UK and overseas.
  • Generate accurate commercial invoices reflecting shipment volumes to facilitate customs clearance.
  • Produce country-specific customs paperwork, including FDA Letters, Certificates of Origin, and related documents.
  • Monitor the shipment statuses daily, promptly identifying and escalating any delays or issues.
  • Assemble sample and order sheets, Certificates of Analysis, packing lists, and other essential documents to ensure accuracy and timely delivery.
  • Coordinate logistics with couriers, internal departments, and external parties to guarantee efficient dispatch and delivery.
  • Keep precise shipping records updated with all pertinent information.
  • Offer onsite office support, including managing incoming calls and routing enquiries appropriately.
  • Perform general administrative tasks to support shipping operations and broader office functions.
  • Adhere to established procedures while seeking ways to enhance efficiency, accuracy, and service quality.
  • Assist the team with additional operational and administrative duties as required.

  • Minimum of two years relevant experience in shipping, logistics, transport, administration, or similar operational field.
