Overview
The Project Coordinator at Dallah Hospital is tasked with facilitating and overseeing the execution of strategic initiatives, ensuring alignment with the organization's objectives. Reporting directly to the Chief Strategy Officer (CSO), the role demands active monitoring of key performance indicators and dashboards, coordination across departments, and assistance in implementing management systems to support the hospital's strategic goals.
Primary Responsibilities
- Ensure that all designated projects and operational programs align with the approved strategic plan by collaborating with department heads and committee leaders to maintain coherence with overarching enterprise priorities.
- Track and monitor Balanced Scorecard (BSC) performance metrics at project and program levels, identify deviations, and communicate updates to the Strategy Analyst and CSO.
- Compile and maintain comprehensive reports on project progress and portfolio status, providing the CSO with a transparent operational snapshot of ongoing initiatives.
- Facilitate cascading of strategic targets by coordinating with department leaders to guarantee project objectives and deliverables are in sync with assigned goals.
- Maintain regular communication with project teams and stakeholders to coordinate efforts, prompt follow-ups, and assist in resolving issues swiftly.
- Oversee daily monitoring of project risks and operational challenges, escalating matters to sponsors or managers as necessary to prevent setbacks or compromise in quality.
- Collect, organize, and validate project-level data, ensuring accurate records for reporting.
- Manage and update existing dashboards and KPI trackers, flagging any significant variances to reflect real-time project statuses.
- Monitor projects’ budgets relative to approved allocations and report budgetary concerns for further analysis.
- Maintain a centralized project registry to ensure completeness of project documentation, tracking key milestones, deliverables, timelines, and resource utilization.
Key Stakeholders
Internal: Project Managers and Directors, Strategy and Performance Management teams, Finance, Procurement, IT departments, Department Heads, and Operational Leads.
External: Consultants and Vendors, Accreditation and Regulatory Authorities (as applicable), Technology and Data Analytics Providers.
Qualifications & Experience
- Between 4 to 6 years of progressively responsible experience in project coordination or project management support roles, ideally within healthcare or comparable complex organizations.
- Proficient understanding of project management practices and tools.
- Skilled in Microsoft Excel, PowerPoint, and data visualization platforms such as Power BI or Tableau.
- Experience operating in structured environments involving multiple stakeholders.
- Academic credentials including a Bachelor's degree in Business Administration, Healthcare Management, Project Management, or a related discipline are mandatory.
- Preferred certifications include those in project analysis, business analytics, or project management methodologies like KPI, OKR, Balanced Scorecard, or Total Quality Management.
Skills
- Strong organizational and administrative abilities.
- Effective communication skills in both Arabic and English, written and spoken.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Capable of drafting clear reports, recording meeting minutes, and maintaining precise documentation.
- Excellent time management, attention to detail, and accuracy.
- Basic familiarity with IT service workflows and healthcare-specific IT systems is advantageous.
- Ability to handle confidential information with discretion and professionalism.
