About YouthBuild Global
YouthBuild Global functions as the central hub for the global YouthBuild movement, connecting an extensive network of YouthBuild programs worldwide. These programs empower opportunity youth—those who are out of school and out of work—to rebuild their education, acquire vocational skills and credentials, and become community leaders. YouthBuild Global provides training, technical support, capacity building, and program innovations alongside leadership development, financial sustainability, narrative transformation, and public policy advocacy. It acts as a unifying force and catalyst for the entire YouthBuild network.
Role Overview
The Program Operations Associate plays a vital cross-functional support role within the Program team, focusing on streamlining administrative and operational activities. Key areas include coordination across AmeriCorps and Department of Labor contracts, Network Engagement, grants administration, and organizing organizational events and convenings. This position aims to boost operational efficiency, ensure alignment across departments, and guarantee smooth execution of projects and events with effective logistics and project management.
Primary Responsibilities
- Deliver comprehensive day-to-day administrative and coordination support spanning DOL Program Impact, AmeriCorps, and Network Engagement teams.
- Monitor and track project deliverables, deadlines, and milestones to ensure timely completion across all program leaders.
- Facilitate internal coordination of workflows, meetings, and communications to maintain alignment among teams.
- Manage documentation, trackers, shared tools, and filing systems to promote operational efficiency.
- Assist with grant and contract administrative responsibilities and other program priorities as needed.
- Act as a liaison to coordinate efforts across program departments and maintain synchronized priorities and timelines.
- Support onboarding processes, enhance internal communications, and implement cross-team process optimizations.
- Streamline recurring operational processes such as quarterly standups, program dashboards, and trend meetings.
- Help foster cohesive collaboration across the wider Program team.
- Maintain and improve program systems and tools including Microsoft 365 platforms, trackers, and file repositories.
- Identify and implement workflow and documentation improvements to enhance team productivity and impact.
- Support program data collection, tracking, and reporting activities.
- Ensure consistent and accurate record-keeping and administrative procedures.
- Coordinate logistics for various convenings, trainings, and events conducted in person, virtually, or in a hybrid format.
- Manage event scheduling, vendor coordination, material preparation, participant communications, and related event operations.
- Assist in preparing run-of-show documents and oversee smooth event execution.
- Track attendance and assist with follow-up actions, documentation, and next steps post-event.
- Use AI tools responsibly and ethically according to YouthBuild Global’s policy, ensuring accuracy and confidentiality in AI-generated content.
- Document and disseminate best practices for leveraging AI to boost efficiency and collaboration in program operations.
Reporting & Collaboration
This role reports directly to the Chief Program Officer and closely partners with the DOL Program Impact team, Network Engagement team, AmeriCorps team, Workforce Development/Career Pathways team, as well as event and convening leaders.
Qualifications and Experience
- Possess 2 to 3+ years of relevant experience in operations, program support, coordination, or administration.
- Demonstrate ability to support multiple teams, projects, or departments within a dynamic, fast-paced setting.
- Exhibit strong organizational and project management capabilities with keen attention to detail.
- Have experience supporting events, trainings, or similar convenings.
- Be proficient in Microsoft 365 and familiar with other collaboration and tracking software tools.
- Have familiarity or eagerness to learn evolving AI tools within the professional environment.

Physical Requirements

Compensation and Benefits
This is a Grade 2 position with a salary range between $55,000 and $60,000 annually.
