About the Role

We are looking for a meticulous and proactive Paralegal to assist our Head of Legal in managing legal affairs related to property management, building consultancy, sustainability, and building technology services, alongside supporting broader business functions like procurement, compliance, IT, and operations. Your role will be crucial to ensure legal and critical business issues are efficiently tracked and handled.

Key Responsibilities

  • Serve as the primary contact for legal documents, performing initial assessments and determining the appropriate follow-up actions.
  • Review consultancy appointment documents using established checklists, advancing routine matters and consulting the Head of Legal on complex or high-risk points.
  • Conduct initial assessments of supplier service agreements to identify legal, commercial, and operational questions, escalating when necessary.
  • Review and negotiate Non-Disclosure Agreements in alignment with agreed templates and standards.
  • Collaborate with internal teams and external contacts to drive negotiations, gather updates, obtain approvals, and expedite matter progression.
  • Assist in reviewing and summarizing important legal documents, including framework agreements, highlighting key terms.
  • Create, organize, and maintain a repository of templates.
  • Maintain and update legal trackers and internal registers.
  • Manage legal records and filing systems ensuring secure and accessible document storage.
  • Monitor deadlines, follow up on outstanding items, and liaise with relevant parties to ensure smooth operations.
  • Coordinate the execution of legal documents, working with signatories and teams as required.
  • Handle notices of assignment by ensuring proper recording, filing, and procedural follow-up.
  • Enforce internal approval and governance routes for legal matters.
  • Maintain and update legal templates, standard clauses, checklists, and guidance notes.
  • Conduct legal and property-related research and support enhancements to contract administration and legal processes.

Candidate Profile

  • Relevant legal qualification such as a law degree, Graduate Diploma in Law, Legal Practice Course, or comparable experience.
  • At least one year of previous paralegal work, preferably in property, real estate, construction, property management, or law firm settings.
  • Experience assessing legal documents in accordance with templates, checklists, or standard guidance.
  • Proficiency with Microsoft Office (especially Word and Excel), plus familiarity with pdfDocs and DocuSign.
  • Strong attention to detail, excellent organizational skills, and accuracy.
  • Effective written and verbal communication abilities and confidence in liaising with internal and external stakeholders.
