Overview
We are seeking a seasoned Operator to lead daily import operations managing both sea and airfreight shipments. This role demands proficiency in order processing using Flow, meticulous documentation handling, customer invoicing, vendor invoice management, and comprehensive financial oversight of assigned files. Additionally, the role involves cultivating strong relationships with clients, transport providers, and internal departments to guarantee exemplary service and smooth execution.
Core Responsibilities
- Execute order processing in Flow following standard operating procedures, confirming with customers and internal teams.
- Handle all facets of import operations for sea and airfreight, including consolidation container assembly (LFL/LF), and arranging bookings for FCL, LCL, and air consignments.
- Track shipments from departure to delivery, monitor notifications and milestones daily, and promptly communicate status updates to customers and stakeholders, including weekly comprehensive reports and real-time alerts on delays or ETA changes.
- Coordinate with Export Handling Office and overseas offices to follow up on orders, compile necessary arrival documentation, and manage customs data entry in Cargowise to support customs clearance procedures.
- Manage deliveries by coordinating with packing depots, transport companies, and customers, utilizing tariff rates to provide transport service pricing.
- Maintain financial files by collating customer and vendor invoices (shipping lines, depots, transport, etc.), preparing invoices to customers reflecting all involved costs, and assisting with month-end financial processes and profit-sharing preparations.
- Support team operations by assisting with desk coverage during absences and collaborating closely with team members, team leader, Customs team, sales, pricing, and management teams.
- Uphold company policies and represent Hillebrand Gori with professionalism, ensuring bookings and operations comply with global guidelines and standards.
Additional Information
- Frequent communication with internal teams including operations, sales, pricing, country management, and overseas offices.
- Regular coordination with external partners such as local customers, transport providers, de-consolidation depots, shipping lines, customs authorities, and appointed agents.
- Financial vigilance is crucial to ensure profit parameters are met and discrepancies are flagged promptly, including adherence to company profit-sharing policies with overseas offices and agents.
