Role overview
Vestas is a global wind energy company focused on developing, manufacturing, selling, marketing, and maintaining wind turbines. The company is looking for a Lead Site Admin to support windfarm service operations through end-to-end site administration, logistics coordination, and operational support.
Key responsibilities
- Take ownership of the complete administrative workload for windfarm service sites, including logistics and day-to-day operational support.
- Act as the main support pillar for the site by helping field operations run smoothly, maintaining safety compliance, and managing corporate administrative tasks accurately.
- Visit sites regularly and provide daily administrative assistance.
- Manage safety-related administration, including first aid readiness and upkeep of fire extinguishers.
- Track site-related finances and support financial administration.
- Follow up consistently on tasks to ensure timely completion and execution.
- Handle SAP processes such as PR, GR, IR, workflow clearance, vendor creation, and account reconciliation.
- Manage company vehicles and drivers, including attendance, fuel usage, servicing, repairs, and maintenance.
- Coordinate vendors and subcontractors, and process invoices efficiently.
- Oversee site infrastructure and facilities such as offices, guest house arrangements, asset tracking, and other on-site support needs.
- Prepare MIS reports.
- Monitor site CCTV and arrange regular maintenance.
- Manage accommodation needs for site guests, hotels, and visitor movement.
Requirements
- B.Com or B.Com with MBA, along with experience in site or office administration.
- Valid driving licence and willingness to travel.
- Strong eye for detail and a bias for thorough execution.
- Good interpersonal skills and the ability to work well with customers and colleagues.
- Comfortable working with employees at all levels, supporting change initiatives, and following supervision respectfully.
- Strong computer skills, including internet-based navigation and the ability to generate and interpret data.
- Ability to read, understand, and write English.
- Willingness to complete all required training programs.
- Comfortable working remotely with limited supervision.
- Working knowledge of administration management, accounts, purchase coordination, and meeting arrangements.
- Ability to analyse data, identify patterns and issues, and recommend solutions where appropriate.
- Cost-conscious approach with the ability to reduce waste and control expenses within the role’s scope.
- Ability to understand needs, spot gaps, prioritise work, and plan activities accordingly.
