Role Overview
This position focuses on supporting guest transportation operations by overseeing vendor management, processing invoices, and handling operational documents. The administrator safeguards financial accuracy, enforces compliance, and coordinates activities efficiently across various service providers to ensure seamless transportation service execution, contributing to operational and financial excellence.
Key Responsibilities
- Maintain comprehensive vendor records, contracts, and compliance documents for effective vendor administration.
- Verify and reconcile vendor invoices against trip data, bookings, and cost codes to ensure accurate and prompt invoice processing.
- Monitor transportation costs, assist with budget tracking, and identify any financial discrepancies.
- Keep detailed booking logs and operational reports supporting daily workflows and audit processes.
- Enforce all internal policies, contract terms, and audit standards to uphold governance and regulatory compliance.
- Compile regular reports on invoices, trip activity, and vendor performance for operational and financial insights.
- Coordinate with internal departments and external vendors to manage relationships and address invoice or documentation issues.
- Analyze operational data and support initiatives to enhance reporting accuracy and administrative procedures.
Candidate Qualifications
- Bachelor’s degree is required.
- 2 to 5 years experience in administration, finance support, or operations support roles.
- Previous exposure to invoice handling, vendor management, or logistics/transport operations considered advantageous.
