About The Role

We are looking for a highly capable and proactive Executive Assistant to provide dedicated support to our Vice President. This key position requires acting as a trusted collaborator for the VP and their leadership team, ensuring seamless and efficient office operations. The selected individual will manage complex, worldwide calendars, coordinate all meeting details, prepare briefing materials, and facilitate communication across various organizational levels. Responsibility for handling sensitive information with confidentiality, excellent organizational skills, independence in a dynamic environment, and sound judgment are essential. This role offers valuable interaction with senior leaders and an impactful contribution to strategic company initiatives.

Key Responsibilities

  • Handle a complex global calendar for the VP, ensuring alignment with strategic goals.
  • Organize meeting logistics, create agendas, prepare materials, and manage timely follow-ups.
  • Arrange complicated domestic and international travels, including itinerary planning, visa coordination, and trip briefings.
  • Act as the central communication liaison for the VP’s office, engaging with internal teams and external partners effectively.
  • Work closely with Communications to develop briefing notes, speaking points, and business trip documentation.
  • Address inquiries by directing routine matters appropriately.
  • Manage expense reporting, purchase orders, and administrative workflows using software such as Microsoft 365, Co-Pilot, and internal systems.

Required Qualifications

  • Minimum of 5 years as an Executive Assistant or Senior Administrative Assistant supporting executives at VP level or above.
  • Advanced skills in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, Teams, SharePoint, OneDrive, and OneNote.
  • Familiarity with Concur for expense management and Workday for HR systems.
  • Proven ability to independently coordinate complex calendars spanning multiple time zones.
  • Exceptional verbal and written communication capabilities, with a keen eye for detail.
  • Experience handling confidential and sensitive information with discretion and professionalism.
  • Strong organizational, prioritization, and analytical problem-solving abilities.
  • Preferred experience includes supporting VPs in global technology or Fortune 500 environments.
  • Preferred knowledge of Confluence, ServiceNow, or project management platforms.
  • Preferred experience in event planning and managing executive offsite meetings.
  • Bachelor’s degree in Business Administration or a related discipline is preferred.
