Role overview
This position is for an Executive Administrative Assistant who will support the Chief Information Officer along with the leadership group that includes the VPs of Applications, Strategy & Operations, and Infrastructure Engineering. The role sits close to the core of technology and procurement operations and is intended for someone who can thrive in a high-visibility, fast-moving environment.
The assistant will work closely with the Senior Director of Portfolio Management & Operations and will help shape how the executive assistant function contributes strategic value.
Work arrangement and duration
This is a hybrid assignment based in San Mateo, California, and it is limited to local candidates. The role requires at least 2 onsite days each week. The contract term is 3+ months, with the possibility of extension.
Compensation
Pay is $50 per hour on W2.
Responsibilities
- Provide day-to-day executive support to the CIO, including managing email, calendars, travel arrangements, and expense submissions.
- Coordinate schedules and logistics for as many as four executives, including both internal and external meetings.
- Organize leadership offsites, team town halls, and recurring departmental meetings.
- Communicate effectively with senior leaders, customer executives, and business partners.
- Monitor shared priorities across teams and help connect workstreams and initiatives.
- Create polished presentations and internal updates that are appropriate for executive audiences.
- Maintain internal team pages and distribution lists so information stays accurate and easy to find.
- Support onboarding activities, culture initiatives, and employee recognition efforts.
- Handle confidential matters with professionalism, sound judgment, and discretion.
- Travel up to 10% for leadership events and on-site support.
- Contribute to the evolution of the EA function by using AI and agentic tools to improve productivity, automation, and strategic focus.
Requirements
- Bachelor’s degree preferred.
- At least 5 years of experience supporting VP-level or C-level executives in a fast-growing technology or client-facing setting.
- Experience in a public company environment is considered an advantage.
- Strong judgment in handling confidential and sensitive information.
- Excellent communication skills, with the ability to write and speak clearly and confidently.
- Strong interest in technology and curiosity about new developments in the field.
- Natural comfort with AI tools and emerging productivity platforms.
- Advanced proficiency in Google Workspace, especially Slides, Docs, and Sheets.
- Familiarity with tools such as Workday, Concur, Coupa, and Slack is a plus.
