About the role
As a Community Executive, you will act as the primary contact for members and help create a welcoming, well-run environment through excellent day-to-day operations. In this role, you will represent the location, support members with their concerns, and help them feel comfortable so they can work productively and connect with others. You will report to the Centre Manager.
Key responsibilities
- Keep the office in a clean, orderly, and well-maintained state by carrying out daily checks and flagging any defects or improvement areas.
- Coordinate member move-ins and move-outs to reduce disruptions and avoid issues.
- Greet members and visitors warmly, and ensure they receive a positive arrival and departure experience.
- Build good relationships with members, collect relevant company and preference details, and use that information to improve service and support sales efforts.
- Assist the Centre Manager with operational improvements that strengthen efficiency, sales results, and member satisfaction.
- Handle reception and concierge tasks, including phone calls, emails, incoming mail, and package management.
- Coordinate with IT, food and beverage, and housekeeping partners so inventory, events, and office needs are delivered on time.
- Support community-building activities and programmes, including member introductions, event assistance, email outreach, and printed communications.
- Promote active use of the member platform and network portal.
- Manage building and office access cards with a strong focus on security.
- Research the needs of current and prospective members to shape tailored sales pitches, offer suitable solutions, and support upselling of the space.
- Prepare and serve hot and cold beverages, including coffee, tea, and specialty drinks, for members and guests.
- Direct prospective or existing members to other offices when that better matches their needs.
- Respond to all follow-ups and communications professionally and within the required timelines.
- Support lead-generation and sales-conversion initiatives aimed at maintaining full occupancy.
- Engage with local organisations and attend networking events to promote the office and brand while identifying potential members.
- Prepare daily and weekly summaries of prospective members for sales reporting and share updates in office meetings.
Requirements
- A qualification from an accredited institution is required.
- Candidates with no prior experience are encouraged to apply; those with more experience may be considered for a more senior role.
- Strong capability in objection handling, prospecting, and negotiation.
- Comfortable using Microsoft Word, Excel, and PowerPoint.
- Must wear the provided uniform during working hours.
- Able to stay effective under pressure and meet tight deadlines in a fast-moving environment.
- Strong planning and organisational ability, with the capacity to juggle multiple tasks.
- Clear verbal and written communication skills, with confidence engaging vendors, speakers, and teams across different seniority levels.
- Shows integrity, reliability, accountability, self-awareness, professionalism, and empathy.
- Self-motivated and open to learning.
