Role Summary
As Kroll expands across the Middle East, we are looking for a detail-focused Bids & Portals Coordinator to manage onboarding, supplier registrations, procurement portals, and RFP/proposal responses mainly within UAE and KSA. This position involves overseeing Kroll's registrations, ensuring compliance, and coordinating procurement portals to enable smooth RFP participation and transaction processes.
Key Responsibilities
- Oversee Kroll's vendor registrations on procurement platforms in UAE and broader Middle East.
- Keep company profiles current on client portals, including business info, banking, tax, and contacts.
- Serve as the liaison with client procurement teams regionally.
- Track portal notifications, renewals, compliance forms, and document expirations.
- Resolve access, permission, and workflow issues related to portals.
- Maintain a comprehensive dashboard of all active and pending client registrations.
- Ensure alignment between portal management and Kroll's commercial and operational strategies.
- Create and update standard operating procedures for procurement portal operations regionally.
- Collaborate with the global bid management team to enhance bid process and portal use best practices.
- Stay updated on procurement regulations and compliance standards across the region.
- Work closely with Legal, Compliance, Finance, Tax, HR, and IT Security teams to gather necessary documentation and information.
- Support internal coordination to fulfill new supplier onboarding requirements.
- Promote continuous improvement for vendor onboarding and portal administration procedures.
Bid and Proposal Management Duties
- Manage the entire bid process for strategic RFPs, including kickoff coordination and regular status checks.
- Analyze and summarize RFP requirements and assign tasks to subject matter experts.
- Collect CVs, company credentials, and legal documents as required by proposals.
- Assist global teams to implement best practices for procurement and bid management in the Middle East.
- Prepare and finalize proposals that are compliant and compelling.
Qualifications and Experience
- More than 2 years and up to 4+ years’ experience in procurement-related operations, vendor registration, bid support, sales or finance operations, or commercial administration.
- Experienced with large corporate, governmental, or professional services clients in UAE, KSA, or the Middle East.
- Familiarity with procurement platforms such as SAP Ariba, Etimad, Coupa, Oracle iSupplier, Jaggaer, Tejari, SAP Fieldglass or equivalent.
- Solid grasp of vendor onboarding, compliance documents, and procurement workflows.
- Background in professional services, consulting, financial or risk advisory, legal, or multinational firms is a plus.
Skills and Personal Traits

- Exceptional organizational skills to juggle multiple portals, deadlines, and stakeholders.
- Strong verbal and written communication abilities.
- Ease in managing relationships with senior internal and external stakeholders.

- Handling sensitive company information discreetly.
- Proficient in Excel, SharePoint, and Microsoft Office suite.
- Ability to systematize tasks involving multiple systems and requirements.
- Familiarity with UAE business legalities including licensing and VAT.
Preferred Credentials
- Bachelor's degree in business, commerce, finance, procurement, or related fields.
- Certifications in procurement, supply chain, project management, or business operations are advantageous but not mandatory.
- Experience with public sector registrations or government procurement portals in UAE is highly favorable.
