Role Overview
We are seeking an organized and proactive Administration, Accounting, and Logistics Executive to manage daily operational functions within a vibrant, multicultural environment. The position demands overseeing comprehensive logistics and administrative procedures, supporting multiple departments, and ensuring seamless workflow across finance, customer service, engineering, and procurement teams.
Key Responsibilities
- Plan, coordinate, and monitor inbound and outbound logistics operations ensuring adherence to company standards.
- Prepare shipments in line with DEDIENNE Aerospace packaging requirements.
- Coordinate with suppliers and logistics partners to guarantee punctual delivery and resolve any logistics challenges to enhance efficiency and lower expenses.
- Utilize ERP systems for tracking goods receipt, logistics activities, record updates, and report generation.
- Maintain comprehensive documentation including shipment records, supplier transactions, and inventory logs.
- Provide administrative support encompassing filing, communication management, purchase order processing, and monthly expense report preparation.
- Assist HR and Finance with document management, data entry, audit preparation, and compliance tasks.
- Manage office supplies, ensuring cost-effective procurement and availability.
- Ensure accurate updates across Saudi government portals such as Qiwa, Muqeem, Absher Business, Mudad, GOSI, ZATCA, Ministry of Commerce portal, and Balady, complying with all relevant regulations.
- Maintain confidentiality of sensitive information with appropriate discretion and security.
- Follow established safety procedures during all daily operations.
- Perform any additional duties or special projects as assigned by management.
Required Qualifications and Skills
- 3 to 5 years' experience in logistics and supply chain management.
- Bachelor's degree in Business Administration, Office Management, or related fields preferred; Associate degree or certifications considered with adequate experience.
- Minimum 3 to 5 years' experience in administrative roles.
- Fundamental knowledge of accounting principles.
- Proficiency in Microsoft Office suite.
- Capacity to manage bilingual documentation in Arabic and English.
- Familiarity with Saudi government platforms such as Qiwa, Muqeem, Absher Business, Mudad, GOSI, ZATCA, Ministry of Commerce, and Balady highly desirable.
- Excellent organizational, multitasking, interpersonal, and communication skills.
- Proactive approach with problem-solving capabilities.
- Ability to work efficiently in a dynamic environment managing several priorities and sensitive information responsibly.
