Role overview
The Project Officer works with the Senior Program Director in the Enterprise Portfolio Delivery Management Office (EPDMO) to help deliver projects across ITS and the wider portfolio. The position supports governance activities, manages secretariat tasks for program and project committees, and contributes to reporting, assurance, and delivery support work.
In addition to governance support, the role may be asked to help implement process improvements within the EPDMO, update delivery templates and artefacts, and assist team members with project-related activities as needed.
Key responsibilities
- Support enterprise portfolios, programs, and projects by providing advice, analysis, and practical problem-solving.
- Look for ways to improve EPDMO processes and systems.
- Coordinate committee meetings by preparing agendas, papers, minutes, and related planning tasks.
- Assist with program and project assurance work by helping provide independent oversight and practical recommendations.
- Build and maintain strong stakeholder relationships so expectations are clear and managed throughout the project lifecycle.
Technical, capability, and working style requirements
- Knowledge of project delivery methods such as Agile and PRINCE2, along with related artefacts like highlight reports and risk, issue, and dependency registers.
- Intermediate ability with Microsoft Office tools, including Excel, Word, and SharePoint.
- Understanding of governance and board secretariat activities, including agendas, minutes, action tracking, terms of reference, and attendance coordination.
- Ability to communicate well with people from a wide range of social, cultural, economic, and educational backgrounds.
- Comfort working in a hybrid environment with both remote and onsite team members, including contractors, contingent workers, and public sector staff.
- Capacity to work independently, follow through on tasks, and need only limited direction.
- Ability to support monthly reporting and help keep project timelines on track.
- Capability to manage shared mailbox and calendar functions for the EPDMO and projects.
- Willingness to carry out other duties relevant to the role when required.
- Experience maintaining governance records such as action logs, decision trackers, terms of reference, timelines, and assurance documentation.
- Ability to provide governance and reporting support to project coordinators within the EPDMO.
