Job description
Position Overview
Glossic is looking for a seasoned professional specializing in cosmetic regulatory affairs and product registration to lead its international regulatory processes and oversee related administrative workflows linked to product launches. The role primarily focuses on ensuring compliance and managing cosmetic product registrations internationally, while also handling supplier documentation, testing coordination, logistics paperwork, document control, and general cosmetics operations.
Key Responsibilities
- Oversee regulatory compliance and cosmetic product registrations/notifications within the EU, supporting processes in the UK, US, UAE, Saudi Arabia, and other GCC countries.
- Manage EU Cosmetic Product Notification Portal (CPNP) submissions, Product Information Files (PIFs), product modifications, and maintain ongoing adherence to regulations.
- Coordinate registration activities with Responsible Persons, importers, distributors, consultants, and regulatory agents as necessary across different countries.
- Monitor submission progress, respond to authority inquiries, keep track of registration numbers, renewals, deadlines, and ensure all necessary documentation is complete.
- Stay updated on regulatory changes, providing guidance on ingredient rules, labeling, claims, documentation, and readiness for product launches.
- Work with external qualified Safety Assessors to coordinate Cosmetic Product Safety Reports (CPSR) and provide essential documentation.
- Create, upkeep, and update comprehensive Product Information Files (PIFs) and technical product documentation.
- Gather and assess formulas, INCI ingredient listings, certificates, test reports, supplier declarations, and other technical documents.
- Identify gaps or inconsistencies in documentation and ensure completion through persistent follow-up.
- Review labeling, artwork, ingredient lists, warnings, mandatory statements, and marketing claims to verify compliance.
- Collaborate with manufacturers, suppliers, laboratories, and regulatory partners to obtain required documentation, resolve issues, and coordinate product testing.
- Maintain organized records for formulas, artwork, certificates, testing results, registrations, suppliers, and product updates.
- Handle coordination of courier services, freight, customs, and import/export documentation for samples, components, packaging, and finished goods.
- Address and resolve any custom, shipment, courier, or documentation issues by liaising with external logistics providers.
- Administer retail partner operations including onboarding procedures, managing retail documentation, product compliance files, in-store displays and testers, launch materials, shipments, restocks, and ongoing support.
- Take full accountability for day-to-day regulatory, retail, product, and administrative tasks, ensuring their timely completion.
Experience and Skills Required
- Approximately three years of experience in cosmetic regulatory affairs, product registration, market access, or a closely related cosmetics compliance function. Equivalent practical experience may also be considered.
- Strong working knowledge of EU cosmetics regulations such as Regulation (EC) No. 1223/2009, including use of CPNP, maintenance of PIFs, labeling requirements, ingredient listings (INCI), claims, technical documentation, and overall product compliance.
- Proven capability in managing cosmetic product registrations or notifications and successfully navigating regulatory submission processes.
- Experience with EU regulations plus demonstrated ability in international product registrations; direct experience is not mandatory for every region targeted.
- Aptitude for quickly learning UK, US, UAE, Saudi Arabian, or other GCC registration systems and collaborating effectively with local regulatory contacts.
- Excellent organizational skills, meticulous attention to detail, strong written English communication, professionalism in supplier interaction, and ability to juggle numerous products, deadlines, documents, and follow-ups concurrently.
- Proficiency with spreadsheets, trackers, shared cloud file systems, Microsoft Office and/or Google Workspace, and structured document management platforms.
- Highly motivated, responsible, and proactive mindset with a capability to independently manage tasks, resolve issues, pursue actions diligently without close supervision, and adapt swiftly to new processes.
Preferred Qualifications
- Experience with color cosmetics, lip care, skincare, tanning products, and sunscreen formulations.
- Background in working alongside manufacturers based in China.
