About the Role and Company
A well-established professional services firm located in Dublin 6 is seeking a skilled Administrator to join their Intellectual Property Patents department. The successful candidate will become part of a team consisting of four IP assistants supporting the Attorney and will regularly communicate with clients to ensure high-quality service.
The office is conveniently situated near the Charlemont Luas Stop. This is a permanent position offering a hybrid working model requiring attendance onsite for two days each week. The work hours are flexible from 8 AM to 6 PM, Monday through Friday, with a 35-hour workweek. Additionally, the company offers flexi-time allowing employees to earn additional annual leave monthly.
Key Responsibilities
- Create and manage documentation with great accuracy by formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
- Effectively prioritize urgent tasks by assessing and managing incoming correspondence, gathering necessary information, and initiating communications.
- Prepare and file documents, complete online forms related to new projects or work assignments.
- Utilize various internal and external software tools, including Microsoft Word, PowerPoint, and Excel, to prepare correspondence, documents, presentations, records, and spreadsheets.
- Manage projects, contribute to productivity improvements, and assist in sales-related groups.
- Provide reception coverage as needed.
- Prepare daily draft invoices and secure required purchase order numbers.
Desired Qualifications & Experience
- Bachelor's degree preferred or equivalent relevant experience.
- Background in legal assistance is important.
- Knowledge and familiarity with legal systems, procedures, and protocols.
- A minimum of three years in an administrative position involving similar duties requiring exceptional attention to detail and deadline management.
