Role Overview
We are looking for an organized and detail-focused Human Resources Coordinator to support Senior Human Resources Business Partners daily. This position suits someone who excels in a dynamic, fast-paced environment, juggling multiple priorities while ensuring that processes, deadlines, and stakeholder communications remain orderly and timely. The ideal candidate is dependable, team-driven, and provides behind-the-scenes support to maintain efficient HR operations.
Key Responsibilities
- Provide administrative and coordination assistance to Senior HR Business Partners to manage priorities, deliverables, and deadlines efficiently.
- Coordinate recruitment processes including candidate communications, documentation preparation, interview scheduling, and hiring tracking to ensure positive candidate engagement.
- Facilitate the onboarding and orientation workflows for new hires to foster smooth integration from acceptance to early employment phases.
- Maintain comprehensive and accurate employee records, trackers, reports, and related documentation.
- Support data collection, analysis, and reporting for workforce planning, recruitment, onboarding, and other HR initiatives using AI-enabled tools such as Microsoft Copilot to enhance reporting and insights.
- Develop, update, and format presentations, briefing documents, dashboards, and reports for HR Business Partners and business stakeholders with clarity and professionalism.
- Track critical dates and follow up on pending actions to ensure HR processes progress seamlessly and on schedule.
- Handle routine HR queries and nurture professional communication channels among HR, management, employees, candidates, and internal partners.
- Identify opportunities to refine and improve HR procedures, templates, reporting methods, and administrative practices.
- Cultivate effective collaborations within the HR team and with other internal stakeholders to support HR projects and deliverables successfully.
Qualifications and Experience
- Post-secondary credentials in Human Resources, Business Administration, or related disciplines, or comparable education and experience.
- Prior experience supporting HR functions, recruitment coordination, or related administrative roles is preferred.
- Exceptional organizational and time management capabilities to handle multiple tasks, adapt to varying priorities, and meet deadlines reliably.
- Strong communication skills with a customer-oriented, professional, and cooperative mindset.
- Meticulous attention to detail ensuring accuracy in employee data, documentation, and administrative processes.
- Comfortable leveraging data for reporting, trend identification, and informed decision support.
- Proficiency in Microsoft Excel for data management and report generation.
- Experience in preparing polished PowerPoint presentations targeting diverse audiences.
- Demonstrated use of AI-enhanced tools like Microsoft Copilot to boost productivity and support analytical tasks.
- Ability to exercise initiative, work autonomously, and maintain commitment amid competing demands.
- Maintains confidentiality and applies good judgment and professionalism handling sensitive information.
- Track record of establishing positive working relationships and effective collaboration within HR teams and wider business units.
