Job Overview
We are seeking a meticulous Human Resources Assistant to aid in the daily HR functions at our Boston, MA office. This contract role is essential in streamlining administrative workflows, addressing routine inquiries from employees and applicants, and promoting efficient department operations. The right candidate can juggle multiple tasks, keep precise records, and provide prompt administrative aid across HR activities.
Key Responsibilities
- Keep track of office and department supplies by maintaining organized records, monitoring inventory, and coordinating procurement when necessary.
- Handle staff business card requests ensuring accuracy and timely completion of orders.
- Respond to general hiring queries from candidates and escalate complex issues to senior HR personnel as needed.
- Manage employment verification for current and past employees by reviewing required documents and preparing verification responses.
- Arrange calendars and meetings for managers and senior staff, including room reservations, attendee confirmations, and equipment setup.
- Assist the employee relations team with scheduling and administrative help.
- Support the Business and Operations Manager with administrative tasks like organizing training events, handling mailings, and special projects.
- Perform additional HR and administrative duties to support departmental objectives and daily functions.
Requirements and Qualifications
- Experience providing administrative support within human resources or office settings.
- Knowledge of HR administrative processes such as onboarding coordination and employment paperwork.
- Proficiency in using HRIS systems and maintaining accurate digital records.
- Ability to engage professionally with applicants, employees, and internal teams.
- Strong organizational skills to efficiently manage schedules, meetings, and multiple demands.
- Experience handling sensitive information with discretion and maintaining confidentiality.
- Familiarity with employee relations support and pre-employment screening is desirable.
