Position Overview
The Front Office Clerk at Dynacare will play a vital role in managing communications and supporting key administrative tasks within the laboratory setting. This role involves handling telephone inquiries from medical professionals and patients, resolving data entry issues, facilitating specimen transportation coordination, and supporting the Specimen Processing team.
Working Hours and Location
This is a part-time position (20 hours per week) with working hours from Monday to Friday, 10:00 AM to 2:00 PM. Flexibility is required to accommodate vacation and sick leave coverage. The location is Downtown Kelowna, British Columbia, Canada, with the role being fully onsite.
Key Duties and Responsibilities
- Deliver excellent customer service by responding to incoming calls and assisting clients, staff, and patients.
- Troubleshoot and correct errors related to order entries.
- Manage incoming and outgoing fax communications with physicians and healthcare providers.
- Oversee the Laboratory Information System (LIS) fax console and distribution of reports.
- Prepare recollection requisitions and maintain associated logs.
- Monitor and respond to emails received through the general information inbox.
- Maintain and update the physician register within the LIS system.
- Generate reports to ensure transmission of results to healthcare providers.
- Adhere strictly to company policies and legal requirements concerning confidentiality and privacy protection.
- Assist in the training and skill development of new team members as needed.
- Coordinate with courier personnel regarding provider office specimen pick-ups.
Qualifications and Skills
- High School Diploma is mandatory.
- Basic to intermediate understanding of medical terminology.
- Minimum three years of experience in a customer service role.
- Medical Office Assistant (MOA) certification is advantageous.
- Ability to prioritize tasks and work independently within deadline-driven environments.
- Strong problem-solving and conflict resolution capabilities.
- Competence in performing under pressure and meeting tight deadlines.
- Effective interpersonal and communication skills to engage with all organizational levels.
- Proficient in Microsoft Office applications.
- Familiarity with Laboratory Information Systems (LIS) considered a plus.
- Typing speed of at least 40 words per minute.
Work Environment
- Standard office setting combined with a medical laboratory environment.
- Work may require prolonged periods of sitting or standing and extensive computer use.
Compensation
Hourly wage is set between $19.00 and $22.75, with the final offer dependent on experience and qualifications.
