Role Overview
The Receptionist and Administrative Assistant plays a vital role in ensuring the smooth functioning of the office environment. This position demands strong organizational abilities, keen attention to detail, and adeptness at juggling multiple responsibilities effectively. The ideal candidate should be an initiative-taking problem solver who communicates clearly and maintains a positive disposition.
Primary Duties
- Provide comprehensive administrative support for the efficient functioning of the CEO's office.
- Receive and direct incoming telephone calls, take messages, and respond to routine inquiries.
- Organize office activities and operations to maintain efficiency and adherence to company policies.
- Manage calendars, schedule appointments, and coordinate meetings and events.
- Draft and distribute emails, memos, letters, faxes, and various forms.
- Assist in compiling regular reports and maintain systematic filing systems, both physical and electronic.
- Order office supplies, sourcing potential supplier deals and maintaining inventory.
- Maintain updated contact lists and respond to information requests.
- Arrange travel plans and prepare necessary documentation.
- Submit and reconcile expense reports accurately.
- Offer general assistance to visitors and act as a liaison point for internal and external clients.
- Coordinate with executive and senior administrative assistants to address inquiries from senior management.
Required Qualifications and Skills
- Completion of high school education or equivalent; higher education qualifications are preferred.
- Minimum three years of experience in administrative assistance, virtual assistance, or office administration roles.
- Understanding of office management procedures and systems.
- Proficiency with Microsoft Office suite including Excel, Word, and PowerPoint, alongside familiarity with office devices such as printers and fax machines.
- Exceptional time management and prioritization capabilities.
- Strong detail orientation and problem-solving aptitude.
- Excellent verbal and written communication skills.
- Organizational strengths enabling multitasking efficiently.
- Capability to work independently with minimal oversight.
