About Petfolk and the Role
At Petfolk, we are revolutionizing veterinary services by combining excellent medical care with a friendly and connected environment for pets, their owners, and veterinary professionals. The Facilities Manager will oversee everyday operational management of all Petfolk Pet Care Centers (PCC), holding centralized accountability for facilities functions across the network. This person will independently manage vendors, landlords, and maintenance needs under guidelines established by the Development team, ensuring operational integrity and company growth alignment.
Key Responsibilities
- Act as the primary on-site leader responsible for the condition, performance, and operational capabilities of physical facilities across all PCC locations.
- Design and administer preventative maintenance strategies for critical building systems such as HVAC, plumbing, electrical, roofing, safety systems, and doors.
- Continuously monitor facility infrastructure and utilities, coordinating investigations, maintenance, and escalation to landlords or vendors as necessary.
- Manage all facets of facilities requests from intake through completion, ensuring thorough communication with care teams throughout the process.
- Maintain an organized and up-to-date facilities ticketing system, tracking all open and completed work orders.
- Make informed decisions on repair versus replacement, authorize expenditures within predefined limits, and escalate issues when needed.
- Respond to urgent facilities emergencies, including after-hours and holiday situations, to maintain operational stability.
- Collaborate internally on projects involving facility enhancements such as renovations, flooring updates, and cosmetic improvements driven by age or brand standards.
- Support budgeting and forecasting for facilities-related spend, monitoring expenses to align with financial plans and identifying cost-saving opportunities.
- Validate and oversee payment of vendor invoices for facility services, while managing facilities budgets at the PCC level.
- Serve as the main contact for landlord communications related to maintenance, building systems, utilities, and lease-mandated repairs, escalating as necessary.
- Oversee and improve vendor partnerships nationwide by maintaining tracking systems, evaluating performance, and sourcing new vendors as needed.
- Review lease agreements to distinguish landlord responsibilities and pursue cost recovery efforts when applicable.
- Work closely with the Construction team on new site openings, assisting with facility readiness and post-construction operational transitions.
- Manage the warranty period for general contractors ensuring construction-related facility issues are promptly addressed and resolved.
- Provide facilities performance reporting to leadership, tracking key indicators such as responsiveness, resolution timelines, maintenance efficacy, and budget adherence.
- Develop standard operating procedures, escalation protocols, and preventative maintenance frameworks that support a growing number of sites.
- Identify recurrent problems and propose operational improvements, standardizations, and cost efficiencies.
Candidate Profile
- Strong decision-making abilities balancing repair/replacement and cost/speed priorities.
- A proactive and accountable ownership mindset, closing loops and keeping leadership informed.
- Financial acumen to critically analyze proposals, track budgets, and identify cost recovery opportunities.
- Highly detail-oriented and organized, capable of detecting and addressing discrepancies.
- Comfortable using AI tools, Google Sheets or similar platforms, and dedicated facilities ticketing systems without supervisory support.
- Effective and professional communication skills with landlords, vendors, care providers, and executives.
- Composed under pressure and able to manage responsibilities spanning a seven-day operational week.
Education and Experience
- Three to five years’ experience in facilities management, multi-unit operations, property management, construction, or related fields.
- Experience managing multiple sites preferred, including industries such as retail, healthcare, veterinary, restaurant, dental, urgent care, or hospitality.
- Background in construction or facilities preferred but not mandatory; judgment and financial responsibility weigh more heavily.
- Ability to interpret commercial leases and distinguish between landlord and tenant obligations is an advantage.
- Familiarity with commercial building systems is beneficial.
Work Environment and Travel
- This is a fully remote role requiring travel up to 30% for site visits, vendor meetings, new location openings, and headquarters engagements.
- A dedicated workspace with dependable internet and effective virtual communication (video, phone, email, and facilities platforms) is required.
- Since Petfolk centers operate daily including some holidays, the Facilities Manager must ensure appropriate vendor support and escalation plans are in place to handle urgent issues during all operating days, although routine weekend or holiday work is not expected.
Physical Demands
- Capability to remain seated at a computer for extended periods.
- Ability to conduct facility walk-throughs during site visits.
Compensation
The position offers a base salary range from $90,000 to $100,000 per year.
