Role Overview
This position supports the President of Screen Gems with a broad mix of administrative and executive coordination tasks. The role calls for strong knowledge of the entertainment world, including agents, managers, filmmakers, writers, and related industry contacts. You will also be expected to build and maintain lists of writers, directors, and producers, prepare creative notes, and review screenplays and other submissions.
Key Responsibilities
- Create and format correspondence such as letters, memos, and fax cover sheets.
- Manage a high volume of incoming calls, screen and redirect them appropriately, and pass along messages promptly.
- Arrange travel for the executive and for project-related participants such as producers, writers, actors, and directors.
- Distribute documents and submissions, then follow up as needed.
- Coordinate with executives and assistants across Sony and with outside production companies, studios, agencies, law firms, and management firms.
- Maintain and update databases, contact lists, and related records.
- Organize meetings, prepare materials, and manage a demanding calendar.
- Read scripts and other submissions in depth.
- Track schedules and availability for external projects, writers, directors, and actors.
- Prepare and submit expense reports, including reimbursements for project participants.
- Handle confidential intellectual property and sensitive project materials.
- Keep files organized in both digital and paper formats and manage document flow.
- Support routine office administration such as mail, copying, and general upkeep.
- Maintain a script library and project database containing submissions and filmmaker information.
- Create presentations in PowerPoint.
- Take on other administrative tasks as needed.
Qualifications
- At least 2 years of experience in an administrative assistant role; background in creative development or production is preferred.
- Proficiency with Microsoft Word, Excel, Outlook, and PowerPoint.
- Prior exposure to Adobe Acrobat, PIX, or similar entertainment-industry tools is preferred.
- Working knowledge of filmmakers, screenwriters, literary authors, and their representatives.
- Strong organization and people skills.
- High attention to detail.
- Ability to juggle multiple priorities, work accurately, and meet deadlines.
- Comfort with changing priorities and a flexible, adaptable approach.
- Reliable judgment, dependability, and careful attention to detail.
- Self-motivated with a collaborative mindset.
- Excellent written and verbal communication with a polished, professional manner.
- Strong discretion when handling confidential information.
Compensation and Benefits
The expected base pay range for this role is $38.37 to $48.03 per hour. The position may also be eligible for incentives and a comprehensive benefits package. Final compensation will depend on factors such as qualifications, relevant experience, education, certifications or licenses, and, where relevant, the job location.
